Job Title: Senior Property Administrator (Accounting)

Reporting to: General Manager

Position Summary:

We are seeking a detail-oriented and highly organized Senior Property Administrator with a strong focus on accounting to join our JLL team, supporting a portfolio consisting of office and industrial assets. Reporting directly to the General Manager, the successful candidate will be responsible for managing all day-to-day financial aspects of the property, ensuring accurate and timely accounting processes, and providing critical financial insights to support property management decisions.

This position will champion the JLL Culture of Communication, Collaboration and Trust while performing the following duties:

  • Manage day-to-day accounting operations, including accounts payable reconciliation, accounts receivable reconciliation, and general ledger maintenance.
  • Process and record all financial transactions related to the property, including rent collections, operating expenses, and capital expenditures.
  • Prepare and analyze monthly, quarterly, and annual financial statements for the property.
  • Develop and maintain property-level budgets and forecasts, working closely with the General Manager to align financial planning with operational goals.
  • Conduct regular financial analysis to identify trends, variances, and opportunities for cost savings or revenue enhancement.
  • Manage tenant-related financial matters, including security deposits, lease administration, and reconciliations.
  • Coordinate with external auditors and participate in annual audits.
  • Ensure compliance with accounting standards, tax regulations, and company policies.
  • Prepare and present financial reports to the General Manager and other stakeholders as required.
  • Assist in the implementation and maintenance of accounting systems and processes to improve efficiency and accuracy.
  • Collaborate with other departments to resolve financial discrepancies and support overall property operations.
  • Maintain tenant accounts, ensuring proper setup, charge processing, credit application, and timely collection of outstanding arrears.
  • Assist the General Manager in monitoring cost control projects monthly, ensuring accuracy and appropriate approvals.
  • Set up Lease Amortization Charges and prepare required reconciliations.
  • Generate invoices to tenants for amounts payable in a timely fashion.
  • Assist the General Manager with the CAPEX tracker including JLL Management fees calculations.
  • Prepare all relevant tenant letters and documentation for year-end tenant recoveries.
  • Accurately input normalized budget information and ensure approved changes are appropriately reflected in the Real Estate system.
  • Assist the General Manager with annual budget planning and processing (including 2026 annual budgets for income and expenses, capital expenditures, and long-term planning, including quarterly reforecast for 2025, and future annual budgets).
  • Prepare monthly parking revenue reports for the property.
  • Any other task delegated to him or her by the immediate superior.

  • Required language: English. Bilingual in English and French is a preferred asset.

  • Proficiency in Microsoft Excel and enterprise level real estate systems is required, experience with Yardi is preferred.
