Senior Practice Manager
Reporting To: Director, Operations
Home Clinic Location: To be determined.
Team Members: All DVM & non-DVM team members at the home clinic, and all Practice Managers and DVMs at clinics within the assigned region
The Senior Practice Manager serves as the acting Practice Manager at their home clinic while overseeing the day-to-day operations of additional practices within their region. The Senior PM leads and coaches Practice Managers and team members, ensuring exceptional client care, patient welfare, and operational efficiency. This role requires a compassionate leader with strong organizational skills, a commitment to excellence, and a passion for fostering talent within our team. The coverage area for this position includes clinics in Kingston, Belleville, and Ottawa.
Salary Range: $70,000 - $80,000
Responsibilities

- Build positive client relationships through remaining calm in all circumstances, displaying genuine care and compassion towards clients and their pets, being respectful in all interactions, and providing exceptional customer service.
- Use empathy, problem-solving skills, and de-escalation skills to promptly resolve client issues or concerns.
- Manage the Practice social media presence through monitoring online sites, responding to online reviews, and publishing social posts as required.
- Ensure team members deliver a high standard of client care, including confirming appointments, providing patient status updates, and accommodating appointment requests.
- Ensure practice team members have the skills to answer client questions and provide knowledgeable product information regarding merchandise, pet grooming aids, food supplies, and other non-medical items.
Our Patients- Approach, greet, handle, and treat animals with kindness, compassion, and patience, contributing to a safe and secure environment.
- Ensure practice compliance with SOPs, hospital protocol, and all regulatory authorities.
Our Practice- Manage the practice team scheduling program, creating and publishing effective online schedules aligned with budget, at least three months in advance, and managing payroll, vacation, and locum scheduling.
- Handle accounting responsibilities, including recording daily sales, processing bills, reviewing payable ledger, and processing rebate cheques.
- Oversee inventory management, escalate replacement proposals, review and approve supply purchases, verify invoices, and ensure proper inventory levels using the practice management program.
- Proactively problem-solve and liaise with the Regional Manager and team for guidance.
- Monitor performance against monthly KPIs.

- Manage recruitment, onboarding, training, and performance check-ins, supporting team development.
- Communicate effectively, fostering a positive and collaborative environment.

- Assist with client care, administrative duties, and other tasks during busy periods or team absences.
Regional Support & Oversight- Oversee and coach Practice Managers and team members, supporting performance and development.
- Lead operations of multiple clinics within the region, managing resources, budgets, and inventory.
- Develop strategic plans, lead change initiatives, and monitor key performance metrics.
- Manage scheduling, inventory, and compliance across clinics.
Position Requirements- Minimum of 3-5 years of veterinary experience in a Practice Manager role, with leadership experience preferred.
- CVPM designation or equivalent is an asset.

- Intermediate computer skills, proficiency with Microsoft Office or Google Suite.
- Excellent communication, recruitment, team-building, and resilience skills.
- Knowledge of inventory management and regulatory standards.
