Summary

We are seeking a highly organized and detail-oriented Senior Fleet Risk Operations & Project Manager to support our consultancy team through project coordination, CRM system management, and billing operations. This role focuses on executing back-end functions that enable successful delivery of safety consulting services. The ideal candidate will thrive in a dynamic, fast-paced environment and bring strong capabilities in workflow management, CRM optimization (HubSpot preferred), client billing, and process improvement.

This position supports revenue growth and customer satisfaction by ensuring smooth operational execution.

This is a REMOTE, work-from-home position.

Essential Functions

Project Management & Operational Support

• Manage safety consulting engagements and client deliverables from start to finish, ensuring milestones are met.
• Coordinate resources between consultants, clients, and stakeholders.
• Maintain project dashboards and lead weekly status reviews.

Communications & Content Management

• Draft and distribute safety alerts, updates, and newsletters.
• Manage the Fleet Risk Services LinkedIn page and digital tools.

Client & Vendor Coordination

• Support third-party vendors, including CRM platforms and billing tools.
• Assist with webinars, training, and onboarding logistics.

Data Analysis & Risk Reporting

• Analyze fleet and safety data for risk dashboards and reports.
• Identify trends, prepare summaries, and support DOT audits.
• Monitor service utilization for upsell opportunities.

Billing & Revenue Operations

• Manage invoicing schedules and billing in line with agreements.
• Coordinate with Finance to ensure billing accuracy and collections.

CRM & Customer Lifecycle Management

• Optimize HubSpot CRM for lead tracking and customer interactions.
• Automate workflows for onboarding, follow-ups, and renewals.
• Document customer interactions aligned with service touchpoints.

Additional Responsibilities

• Perform other duties as assigned.

Required Skills & Abilities

• Strong project management and organizational skills.
• Proficiency in HubSpot or similar CRM platforms.
• Experience with invoicing and billing systems.
• Excellent communication skills; bilingual Spanish preferred.
• Ability to work independently in a remote environment.
• High attention to detail and multitasking ability.
• Proficiency in Microsoft Office and Adobe Acrobat.

Qualifications

• Bachelor's degree in Safety, Health, or related field, or equivalent experience.
• At least 2 years of relevant experience in operations, project management, or consulting support.
• HubSpot experience is highly preferred.
• Lean Six Sigma Green Belt or process improvement certification is a plus.
