Scarborough Health Network seeks a Scheduling and Workforce Optimization Partner to ensure adequately staffed, cost-efficient operations across units. Collaborate with leaders to design staffing models, rotations, and use of relief staff, while aligning with collective agreements.

You will analyze scheduling data, produce actionable insights, and support HR partners in training UKG users and improving workforce planning across SHN.

Qualifications

  • Diploma or degree required (Business Administration, Human Resources, Engineering, Computer Science, or Mathematics preferred).
  • Minimum 3 years scheduling experience in a unionized acute care setting is required.
  • Demonstrated proficiency with analytical software and data analysis.
  • Experience building and optimizing schedules and master rotations.
  • Experience with Labour Relations to interpret and implement Collective Agreements.

Responsibilities

  • Facilitate staffing workflows to ensure optimal staffing; advise on staffing models across units/departments.
  • Provide scheduling consultation to managers and clerks; optimize rotations and resource utilization.
  • Maintain knowledge of scheduling rules, best practices, and system changes.

Job description

**Position Overview:** The Scheduling and Workforce Optimization Partner actively facilitates Scarborough Health Network’s scheduling processes with the goal that all areas are adequately staffed in an operationally safe and cost-efficient manner at all times. The Scheduling and Workforce Optimization Partner acts as a scheduling business partner, using expertise in strategic scheduling to assess and make decisions collaboratively with operational leadership teams across a defined portfolio to ensure adherence to appropriate collective agreements, scheduling policies and models of care. They will interface with Scheduling and Staffing Office Clerks to collaboratively manage staffing workflows as required. This role will work in collaboration with Human Resources Business Partners as required. **Responsibilities:** Workforce Design: The Scheduling and Workforce Optimization Partner proactively supports unit managers and Scheduling and Staffing Clerks to establish and maintain effective staffing models for delivery of service in their specific units or departments. In addition, this position ensures optimal use of relief staff and offers approaches to the full time, part time and casual mix. Scheduling: The Scheduling and Workforce Optimization Partner also provides consultation and support to managers and Scheduling and Staffing Clerks in rotation management techniques to optimize resource utilization. This position is responsible to analyze current rotations and to work with managers and Scheduling and Staffing Clerks to review, plan and build optimized rotations. This position facilitates change, advises on best practice and liaises with various stakeholders to achieve optimal results. To ensure schedules are produced in optimal and compliant ways, the Scheduling and Workforce Optimization Partner will maintain knowledge of scheduling rule changes, best practices, and technological changes. Analytics and Reporting: The Scheduling and Workforce Optimization Partner will also support with scheduling analytics and reporting for their portfolio. The position will be responsible for conducting quantitative analysis to support decision making, identifying opportunities and creating practical recommendations to operational leadership for improvements. Using scheduling data, this position supports managers in addressing staffing model and unit/department-level workforce planning challenges including overtime, sick leave, and leave management planning. System Administration: The Scheduling and Workforce Optimization Partner is jointly responsible for the training and ongoing education of UKG users, including a group of super users. Analysis and reporting on strategic and ad hoc metrics is also required to support decision making across SHN. **Requirements:*** Diploma or degree required (Business Administration, Human Resources, Engineering, Computer Science, or Mathematics preferred).* Minimum 3 years scheduling experience in a unionized acute care setting is required.* Demonstrated proficiency of analytical skills and knowledge of analytical software (e.g. Microsoft Excel and other statistical software) required.* Experience building and optimizing schedules and master rotations required.* Knowledge of UKG or other electronic scheduling systems an asset.* Experience with utilizing Microsoft 365 (SharePoint, Forms, Power Apps) an asset.* Experience developing financial business models to support recommendations.* Experience training adults an asset.* Experience working with Labour Relations to interpret and implement Collective Agreements.* Self-directed, demonstrated ability to work collaboratively with others.* Excellent interpersonal and communication skills both verbal and written.* Proven decision making, negotiating, conflict resolution and problem-solving skills.* Demonstrated ability to manage conflicting priorities and confidential data.* Good work and attendance record required.
