Job Summary
The Scheduling Coordinator plays a crucial role in healthcare settings by ensuring that healthcare providers are scheduled effectively to meet the needs of clients. This involves a variety of tasks and responsibilities: Understanding Staffing Requirements, Maintaining Provider Availability Information, Matching Providers to Shifts, Communicating Schedules, Handling Schedule Changes and Reporting. This role requires strong organizational skills, excellent communication abilities, and a keen attention to detail. The Scheduling Coordinator must be able to balance the needs of clients with the availability of healthcare providers to ensure that all shifts are covered. They must also be able to adapt quickly to changes and handle scheduling issues efficiently and effectively.

Hours

  1. Minimum 15 hours per week
  2. Shifts are Saturdays 1pm - 9pm and Sundays 1pm - 9pm
  3. Must be available to work weekdays, weekends, statutory holidays, evenings and nights

Office Location
Carecor Halifax Office, with a hybrid remote work plan after about 4 weeks of training in the office.

Reports To
Manager, Staffing Office (East Coast Region)

Responsibilities

  1. Scheduling healthcare providers/employees by matching the staffing requirements of Carecor’s clients.
  2. Contact healthcare providers/employees to determine availability.
  3. Match available healthcare providers/employees to facility client requests.
  4. Provide excellent customer service – first contact by phone, in person and electronically for Clients.
  5. Manage requests in a timely manner, based on priority, up-sell and offer service to Clients.
  6. Update Scheduling Software.
  7. Record and document all requests, schedules, and communications into scheduling software program and on manual systems as required.
  8. Assist with payroll and invoicing issue investigations.
  9. Initiate Instant Pay requests for healthcare providers.
  10. Print daily reports as defined, forward and file as required.
  11. Promote Carecor’s staffing services to facilities and health care providers.
  12. Participate in special projects and meetings as assigned by the Supervisor.
  13. Meet target goals related to staffing productivity indicators; (inbound/outbound calls fill rates, offering staff out).
  14. Other duties as required.

Qualifications

  1. Experience using scheduling software programs
  2. Familiarity with health care settings and the staffing industry
  3. Must be proficient in Word, Outlook, Excel
  4. Proven attention to detail within a fast-paced environment (accurate and fast typing essential)
  5. Excellent customer service skills and a personable outgoing, professional manner
  6. Takes initiative, able to work independently, demonstrated multi-tasking and problem-solving skills. Works well under pressure, highly organized
  7. Excellent written and verbal communication skills. Highly organized with excellent judgement, discretion and attendance record

Requirements

  1. Must be able to read, write and speak fluent English.
  2. Must possess evidence showing eligibility to work in Canada.
  3. Willing to undergo a Police Background Check as a condition of employment, with ‘clear’ results and renewed as required by Carecor policy.
