Job description

Minus Forty QBD Corp. (DBA “Aeritek”) manufactures high-quality refrigerated and frozen food merchandisers under the Minus Forty® & QBD brands. We offer innovative merchandising and business products, serving customers across North America and Europe. Our diverse range of commercial refrigeration units and customization capabilities have earned trust among ice cream vendors, frozen food merchants, and major food industry corporations. With over 30 years of experience, we are committed to customer success.
The Sales Project Manager is responsible for leading the end-to-end execution of complex customer projects, with a primary focus on large‑scale equipment deployments. Acting as the central liaison between Sales, Production, Logistics, Finance, and customers, this role ensures projects are accurately coordinated, communicated, delivered, and reconciled from order placement through final completion.
This customer‑facing role requires regular interaction with customer project teams to manage timelines, expectations, and project outcomes. The ideal candidate has experience working directly with customers in large retail chain environments, highly organized, detail‑oriented, and proactive, with the ability to successfully manage multiple priorities in a fast‑paced environment.
Success in this role depends on anticipating challenges, maintaining accurate project visibility, fostering clear communication across stakeholders, and ensuring seamless execution at every stage of the project lifecycle.
Main Duties & Responsibilities
  • Lead the operational execution of large‑scale and complex customer projects, including multi‑location deployments, phased shipments, and projects requiring extensive coordination across internal and external stakeholders.
  • Develop and manage project timelines, milestones, priorities, and tracking mechanisms to ensure projects are delivered on schedule and in alignment with customer expectations.
  • Serve as the primary operational liaison between Sales, Production, Logistics, Finance, vendors, and customers, ensuring clear communication and alignment throughout the project lifecycle.
  • Monitor production schedules, shipment activity, and delivery timelines, proactively identifying risks, delays, and operational challenges and coordinating appropriate corrective actions.
  • Manage freight and delivery activities through final delivery and installation, resolving logistics issues, discrepancies, damages, and other exceptions as required.
  • Partner closely with Sales Representatives and customer project teams to provide timely project updates, manage expectations, communicate changes, and ensure a positive customer experience.
  • Coordinate and administer customer incentive, promotional, and rebate programs by tracking eligible orders, maintaining supporting documentation, monitoring deadlines, and ensuring compliance with program requirements.
  • Collaborate with Sales, Finance, and other stakeholders to ensure program‑related claims, credits, and supporting documentation are accurately captured, reconciled, and processed.
  • Maintain accurate project documentation, status reports, and tracking systems to provide visibility into project progress, key milestones, and outstanding actions.
  • Perform order, shipment, serial number, invoice, and program reconciliation activities to ensure accuracy, resolve discrepancies, and support Finance and reporting requirements.
  • Verify that customer orders are accurately entered, tracked, and incorporated into project plans, ensuring data integrity throughout the order fulfillment process.
  • Conduct post‑delivery follow‑up with customer locations to confirm successful receipt, installation, functionality, and overall customer satisfaction.
  • Continuously evaluate project workflows and identify opportunities to improve operational efficiency, communication, and project execution.
You Have
  • Completion of college/university or other post‑secondary programs aligned with business administration, project management, operations management, engineering or computer science.
  • Completion of PMP (Project Management Professional) or CAPM (Certified Associate in Project Management) or equivalent considered an asset.
  • Experience in refrigeration or similar equipment industry is beneficial.
  • Experience working directly with customers in large retail chain environments.
  • 3+ years of experience in project management, operations, logistics, order management, or a related field.
  • Strong leadership and organization skills.
