Job summary

WestCreek Homes, a Calgary-based homebuilder, seeks a Sales Administrator to support daily customer-job administration and documentation. You will coordinate selections, amendments, and purchaser files, ensuring accuracy and timeliness across Sales, Estimating, Design and Construction teams.

Ideal candidates have strong organizational skills, experience with MS Office, and the ability to manage multiple tasks in a fast-paced environment.

Qualifications

  • Administrative support experience preferred.
  • Strong organizational skills and attention to detail.
  • Proficient with Microsoft Office (Outlook, Word, Excel).
  • Good written and verbal communication; ability to coordinate across departments.
  • Team player able to work independently or with others.

Responsibilities

  • Provide day-to-day administrative support for customer jobs.
  • Prepare, organize, and maintain sales documents, agreements, amendments, and purchaser files.
  • Assist with processing new home sales and ensure documentation is complete and accurate.
  • Coordinate purchaser information, selections, upgrades, and changes with internal departments.
  • Maintain records in company systems, spreadsheets, and sales tracking tools.
  • Track deadlines and open items during sales and construction process.
  • Assist with pricing requests, amendments, and related docs.
  • Communicate with Sales Representatives, Estimating, Design, Construction, and others to ensure timely info flow.
  • Maintain price lists, specifications, and sales materials.
  • Respond to internal/external inquiries professionally and promptly.
  • Identify missing/conflicting information and follow up with relevant teams.
  • Provide additional admin support to Sales and Operations as needed.

We are looking for an enthusiastic individual to join our team in the position of Sales Administrator.

Roles and Responsibilities
  • Provide day-to-day administrative support on customer jobs
  • Prepare, organize, and maintain sales documentation, agreements, amendments, and purchaser files.
  • Assist with processing new home sales and ensuring required documentation is complete and accurate.
  • Coordinate purchaser information, selections, upgrades, and changes with internal departments.
  • Maintain accurate records within company systems, spreadsheets, and sales tracking tools.
  • Track important deadlines and outstanding items throughout the sales and construction process.
  • Assist with pricing requests, sales amendments, change requests, and related documentation.
  • Communicate with Sales Representatives, Estimating, Design, Construction, and other departments to ensure information is distributed accurately and on time.
  • Assist with maintaining price lists, specifications, sales packages, community information, and other sales materials.
  • Respond to internal and external inquiries professionally and in a timely manner.
  • Identify missing or conflicting information and proactively follow up with the appropriate team members.
  • Provide additional administrative support to the Sales and Operations teams as required.
Candidate Requirements
  • Previous administrative or sales support experience is preferred.
  • Residential construction, homebuilding, real estate development, or new home sales experience is considered a strong asset.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple files, priorities, and deadlines simultaneously.
  • Strong written and verbal communication skills.
  • Comfortable communicating and coordinating across multiple departments.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Experience with homebuilding, CRM, ERP, or construction management software is an asset.
  • Ability to learn new systems and processes quickly.
  • Professional, dependable, and able to work both independently and as part of a team.
