Job summary

Empire Roofing Corporation in Windsor, Canada seeks a Project Administrator to support production teams and ensure smooth project execution. You will maintain production schedules, assist project managers with allocations and resources, and manage division documents to enable timely milestones.

Youll coordinate with vendors, field staff, and internal departments, prepare weekly reports, track materials and equipment, and help with site mobilization and demobilization while upholding safety

Qualifications

• Experience coordinating projects, including resource allocations, procurement, logistics and scheduling.
• Knowledge of safety regulations and OHSA standards in roofing operations.
• Strong communication skills, both written and spoken, across departments.

Responsibilities

• Support the assigned Project Manager with all project-related administrative tasks.
• Review project files and work order binders to ensure all relevant documents are included.
• Assist in preparing documentation for project startup or closeout.
• Collect and file daily forms, safety forms, and packing slips from the field.
• Complete and distribute weekly production reports with up-to-date site data.
• Order materials and equipment for active and upcoming projects.
• Issue and track purchase orders to vendors and suppliers.
• Book hotel accommodations and assist with travel logistics for field staff.
• Maintain project documentation, including contracts, submittals, and safety paperwork.
• Communicate with vendors, subcontractors, and internal departments to meet project needs.
• Assist with scheduling of equipment deliveries, inspections, and crew requirements.
• Track and confirm material deliveries and equipment rentals.
• Support the coordination of job site mobilization and demobilization.
• Help maintain up-to-date job costing and documentation in project management systems.
• Provide general administrative support to ensure timely execution of project milestones.
