Job summary

Empire Roofing Corporation, a leading North American roofing company, is seeking a Project Administrator to support the production team and ensure smooth execution of projects in Windsor, Ontario.

You will maintain schedules, assist managers with allocations, manage documents, coordinate with vendors and field staff, and help prepare reports and costs to meet milestones. This on‑site role offers a collaborative environment, paid overtime, benefits, and opportunities for growth.

Qualifications

• Experience coordinating multiple projects with stakeholders.
• Knowledge of OHSA safety regulations for roofing operations.
• Strong organizational and prioritization skills.
• Excellent verbal and written communication for cross‑functional teams.

Responsibilities

• Support the assigned Project Manager with all project‑related administrative tasks.
• Review project files and work order binders – ensure all relevant & required documents are included.
• Assist in preparing documentation for project startup or closeout.
• Collect and file all necessary documents from the field, including daily forms, safety forms, and packing slips.
• Complete and distribute weekly production reports with accurate and up‑to‑date site data.
• Order materials and equipment as needed for active and upcoming projects.
• Issue and track purchase orders to vendors and suppliers.
• Book hotel accommodations and assist with travel logistics for field staff when required.
• Maintain project documentation, including contracts, submittals, and safety paperwork.
• Communicate with vendors, subcontractors, and internal departments to ensure project needs are met.
• Assist with scheduling of equipment deliveries, inspections, and crew requirements.
• Track and confirm material deliveries and equipment rentals.
• Support the coordination of job site mobilization and demobilization.
• Help maintain up‑to‑date job costing and documentation in project management systems.
• Provide general administrative support to ensure timely execution of project milestones.
