Responsibilities

  • Plan, schedule, and allocate resources for clients, schedules, and aircraft types.
  • Finalize staffing plans 6+ weeks in advance and publish rosters 4–5 weeks prior.
  • Propose improvements to safety, efficiency, and culture in planning and operations.
  • Maintain clear communication with all business areas.
  • Support maintenance and integrity of the skills matrix.
  • Suggest upskilling to ensure shifts are covered by skilled staff.
  • Review allocations to align with staffing plans and commercial rules.
  • Provide scenario modeling and analysis as required.
  • Work variable hours including weekends as needed.
  • Perform other duties as required; maintain operational staffing levels.
  • Monitor labour budgets and adjust schedules to remain within limits.
  • Track worked vs planned hours and address variances.

Job description

Job Summary

As a key member of the centralized workforce planning team, this role develops optimal resourcing plans that support the achievement of strategic objectives. The Workforce Planner ensures alignment with forecasted airline activity, commercial client agreements, work engagement standards, safety, and operational principles.

Workforce planning and rostering are critical to Swissport's operations and significantly impact our people, operational efficiency, and business performance. This rewarding position involves close collaboration with managers and leaders across the business to deliver excellence in customer service and operations, serving as a trusted advisor to our stakeholders.

Your activities
  • Plan, schedule, and ensure optimal allocation of resources for various clients, schedules, and aircraft types to achieve exemplary results for the designated portfolio.
  • Ensure staffing plans are finalized at least 6 weeks in advance, allowing employee rosters to be published with a minimum of 4-5 weeks' notice.
  • Make recommendations to improve safety, efficiency, performance, and culture related to both tactical resource planning and general operations.
  • Ensure regular and appropriate communication with all areas of the business.
  • Assist key stakeholders with the maintenance and data integrity of the skills matrix.
  • Recommend upskilling requirements to station management to ensure all shifts are covered by appropriately skilled employees.
  • Review shift allocations to ensure alignment with staffing plans and escalat any variances that fall outside of commercial arrangements.
  • Provide scenario modeling for future initiatives, other analyses, data, and reporting as directed and in a timely manner.
  • Work variable hours, including early starts, late finishes, and weekends, as required.
  • Perform other duties as required; the above-listed duties do not limit what may reasonably be requested during employment.
  • Ensure staffing levels meet operational and airline SLA requirements.
  • Review budgeted hours versus scheduled hours and ensure schedules remain within approved labour budgets.
  • Monitor and control labour hours, overtime, and additional staffing to minimize unnecessary costs.
  • Identify areas where scheduled hours are over or under budget and make appropriate adjustments while maintaining operational coverage.
  • Monitor worked versus planned hours and identified variances.
Your profile
  • Experience in rostering, workforce planning and optimization, administration, and coordination.
  • Understanding of workforce planning processes, theories, and methodologies.
  • Knowledge of Swissport’s workforce management systems and optimization systems.
  • Direct aviation experience with thorough knowledge of airline ground handling operations.
  • Demonstrated ability to introduce change and improvements.
  • High-level personal qualities in relation to adaptability, flexibility, commitment, sound judgment, reasoning, and effective time management and prioritization of tasks.
  • Eye for detail and very high standards of accuracy and efficiency.
  • Capability to work to demanding deadlines, manage multiple tasks, and maintain close attention to accuracy and detail.
  • High-level administrative, planning, time management, and organizational skills.
  • Eligible to work in Canada with an open and valid work permit.
  • Excellent written and oral communication skills.
  • Ability to work collaboratively as a participative and supportive team member.
  • Ability to work with minimal direction, displaying initiative and motivation, ensuring tasks are completed on time and in full detail.
  • Strong ability to develop proficiency in using company IT systems.
  • Proficiency in office tools including Excel, Google applications, and email.
