Job summary

Cassels Brock & Blackwell LLP is seeking a Legal Assistant – Employment & Labour for our Toronto office. You will support lawyers in the Employment & Labour group with routine legal duties, document prep, and proactive practice management.

The role emphasizes strong initiative, communication, and organizational skills to provide exceptional support in a fast-paced environment.

Qualifications

  • College Diploma in Legal Administration.
  • Minimum of 3 years legal assistant experience in a similar environment; experience in Employment and Labour litigation is an asset.
  • Knowledge of Automated Civil Litigation (ACL).
  • Understanding of court procedures, Ontario Labour Relations Board Rules.
  • Familiarity with Ontario Labour Relations Board (OLRB) submissions and filings.
  • Proficient in MS Office 365 (Word, Excel, PowerPoint).
  • Ability to work with minimal supervision in a collegial team.
  • Exceptional administrative and organizational skills.
  • Adapt to a fast-paced environment with changing priorities.
  • Excellent written and verbal communication with lawyers, clients and third parties.
  • Embrace innovation and process improvement.

Responsibilities

  • Prepare agreements and other legal documents from instructions and precedents.
  • Assemble affidavits, motion records, factums and books of authorities.
  • Assist with service and filing before courts, Ontario Labour Relations Board, and Human Rights Tribunal of Ontario.
  • Draft routine correspondence on behalf of lawyers, with proofreading and editing.
  • Assist with docket entries and preparing expense submissions.
  • Obtain information from clients and forward to lawyers.
  • Assist in managing the lawyers’ practice: open files, schedule meetings, hearing dates, travel arrangements.
  • Manage bring-forward system and keep lawyers apprised of ongoing matters.
  • Coordinate and monitor administrative functions to meet deadlines.
  • Assemble information and maintain records of conferences, organizations and client development initiatives.
  • Provide support to other lawyers and team members as required.

Role Overview

Our Toronto office is currently recruiting for a Legal Assistant – Employment & Labour in our Litigation & Dispute Resolution Department. This role will assist in providing a variety of routine legal and administrative duties to lawyers within the Employment & Labour group, including preparation of legal documents and correspondence. The successful candidate for this role will possess strong initiative, excellent communication and organizational skills, as well as being able to independently and proactively manage the practices to provide the lawyers with exceptional support.

The successful candidate will be responsible for:
  • Preparing agreements and other legal documents from written, oral and taped instructions and precedents.
  • Assembling affidavits, motion records, factums and books of authorities.
  • Assisting with service and filing of materials before various courts, Ontario Labour Relations Board, and Human Rights Tribunal of Ontario.
  • Drafting routine correspondence on behalf of lawyers, applying proofreading and editing skills to documents and correspondence.
  • Assisting with docket entries and preparing expense submissions.
  • Obtaining information and instructions from clients and forwarding to lawyer.
  • Assisting in the management of lawyer’s practice, i.e., opening files, arranging meetings, scheduling hearing dates with government bodies and/or representatives, arranging travel and/or accommodations.
  • Managing bring forward system and keeping lawyers apprised of ongoing and outstanding matters.
  • Coordinating and monitoring administrative functions to ensure completion of work accurately and within established time frames.
  • Assembling information and maintaining records of lawyers’ and/or firm’s involvement with conferences, organizations and client development initiatives.
  • Providing support to other lawyers and members of the team as required and requested.
The successful candidate must have the following education, experience and/or demonstrated skills:
  • College Diploma in Legal Administration.
  • A minimum of 3 years legal assistant experience in a similar environment. Experience in Employment and Labour litigation is an asset.
  • Knowledge of Automated Civil Litigation (ACL)
  • Understanding of court procedures, Human Rights Tribunal of Ontario Rules
  • Familiarity with Ontario Labour Relations Board (OLRB) and filing submissions and other documents with the OLRB.
  • Proficient in MS Office 365 with strong computer skills in Microsoft Word, Excel and PowerPoint
  • Ability to work with minimal supervision, as well as part of a collegial and outgoing team.
  • Exceptional administrative and organizational skills.
  • Be flexible, work under pressure and adapt to changing priorities in a fast‑paced environment.
  • Juggle multiple priorities, meet deadlines and exhibit sound judgment.
  • Maintain accuracy with a high attention to detail.
  • Exceptional communication skills (both verbal and written) when dealing with lawyers, firm personnel, clients, and third parties.
  • Embrace innovation and process improvement, including early adoption of new technology.

Employment Type: Permanent, Full-Time, (4-days per week in office)

Salary Range: $60,000 - $80,000 annually (commensurate with experience)
