Job summary

Baptist Housing is seeking a compassionate Resident Services Assistant (Concierge) for Shannon Oaks Oak Bay in Victoria, BC. This role provides administrative and concierge support in an all-inclusive independent living residence for seniors.

You will handle reception, resident inquiries, records management, onboarding logistics, and billing support, reporting to the Resident Services Manager, while delivering a welcoming and professional environment. Mostly night shifts are required.

Qualifications

  • Secondary school graduation is required.
  • Formal training in basic accounting and Microsoft Word/Excel.
  • Emergency First Aid – Community Care training.
  • Minimum of 3 years’ experience as a Resident Services Assistant.
  • Strong interpersonal, communication, and problem-solving skills.
  • Proficiency in Microsoft Office, with strong Word and Excel skills.
  • Knowledge of billing practices.
  • Detail-oriented with excellent organizational and time-management skills.
  • Ability to maintain confidentiality and handle sensitive information.

Responsibilities

  • Act as ambassador of Baptist Housing, modeling organizational values and servant leadership.
  • Provide professional reception services, answering inquiries from residents and visitors via phone or in person.
  • Respond promptly to resident medical emergencies, primarily by contacting 911.
  • Perform general office duties, including photocopying, faxing, filing, ordering supplies, and maintaining office equipment.
  • Create and manage documents and spreadsheets using Microsoft Word and Excel.
  • Facilitate new resident onboarding, including setting up confidential files and managing logistics.
  • Maintain a confidential resident database and accurate tenancy records.
  • Record meal tickets, compile daily attendance lists, and prepare monthly census reports for billing purposes.
  • Track and invoice resident charges (housekeeping, meals, utilities) and respond to related inquiries.
  • Receive and communicate maintenance requests via the Maintenance Care program.
  • Support resident move-ins, move-outs, and transitions.
  • Maintain resident earthquake kits.
  • Assist the Administrator with projects, participate in team meetings, and support resident events.
  • Attend work-related conferences and seminars for professional development.
  • Promote a culture of health and safety, ensuring compliance with WorkSafe BC regulations.

We’re currently seeking a dedicated and compassionate Resident Services Assistant (Concierge) to join our team at Shannon Oaks Oak Bay, an all-inclusive premier Independent Living Residence for seniors. This role provides essential administrative and concierge support, ensuring a warm, professional, and efficient experience for our residents and guests.

About The Role

*The successful candidate would need to be available for mostly night shifts.

As a Resident Services Assistant at Shannon Oaks, Oak Bay, you will be an ambassador of hospitality, providing administrative support to the business office and delivering exceptional service to residents, families, and visitors. Reporting to the Resident Services Manager, you will handle general office tasks, respond to resident inquiries, manage emergency calls, and maintain accurate records, all while fostering a welcoming and supportive community environment.

Key Responsibilities

Requirements

  • Secondary school graduation
  • Formal training in basic accounting and Microsoft Word/Excel
  • Emergency First Aid – Community Care training (St. John Ambulance or equivalent)
  • Minimum of 3 years’ experience as a Resident Services Assistant or equivalent combination of training and experience
  • Exceptional interpersonal, communication, and problem-solving skills
  • Proficiency in Microsoft Office, with strong Word and Excel skills
  • Knowledge of basic accounting and billing practices
  • Highly detail-oriented with excellent organizational and time-management skills
  • Ability to maintain confidentiality and handle sensitive information
  • Service-oriented mindset with the ability to work independently and collaboratively
