Reporting to the Assistant Director, Facilities and Operations, the incumbent is responsible for providing administrative support to the Assistant Director, Facilities and Operations. The incumbent will connect frequently with stakeholders including our approximate 3600 students, staff and trades to provide information about work order statuses and answer any questions that arise. The incumbent is also responsible for supporting facility maintenance in Dining Services, as well as administrative support for the summer housekeeping season. The incumbent will help ensure that the Residence buildings are clean and lacking deficiencies by regularly inspecting all the Residence buildings and assist in addressing any issues.

Qualifications:

The incumbent must possess the following qualifications:

  1. Experience and knowledge of facility operations specifically Maintenance, Custodial and Housekeeping services in order to provide excellent support in facility maintenance.
  2. Experience working with third party vendors to effectively deliver the service (ex. Custodial Services).
  3. Excellent knowledge of work order systems and generating work requests to effectively and efficiently.
  4. Knowledge of service levels to assist in ensuring the residence buildings maintain an excellent standard of cleaning.
  5. A thorough knowledge of Microsoft Office Software in order to compile, maintain and assist in the analysis of data and coordination of the budget.
  6. Excellent attention to detail and accuracy are essential.
  7. Much of the work performed, pertains to confidential and/or sensitive issues, therefore discretion, tact and diplomacy and maturity must be exercised in handling these issues.
  8. Ability to work independently, with strong problem-solving skills to work with minimum of supervision, as well as the ability to work successfully in a team environment.
  9. Excellent time management skills, with the ability to prioritize tasks and adapt in a busy and demanding environment, with multiple requests and deadlines to coordinate.
  10. Excellent communication and interpersonal skills, patience and understanding are required.
  11. Superior customer service skills and experience with the ability to maintain a positive attitude while working under pressure.
Education and Experience:

The above is normally acquired through the completion of:

  1. Completion of a two-year college diploma in a facilities management, or business related field.
  2. Three years administrative work experience in service-oriented environment. Recent professional experience in a residence or facilities management and planning would be an asset.
