Job summary

Proven is seeking a Project Coordinator to keep a fast-moving renewables team on track from Toronto, ON. You will be the central contact for clients on active projects, manage vendor quotes and bookings, and maintain schedules to ensure on-time delivery.

The role covers client communication, invoicing coordination, and hub-based project tracking with Deltek and HubSpot. You will support engineers and field crews, driving efficiency and accountability across the team.

Qualifications

• Diploma or degree in business, project management, engineering technology, or related field.
• 3+ years coordinating projects in engineering, construction, renewable energy, or technical services.
• Experience managing vendors and subcontractors, including quotes, bookings, and cost tracking.
• Strong scheduling and organizational skills to keep many projects moving.
• Professional client communication by phone and email; diplomacy with engineers and field crews.
• Familiar with CRM and project systems; HubSpot and Deltek experience are assets; AI tools helpful.

Responsibilities

• Act as day-to-day contact for clients on active projects; provide status updates and scheduling.
• Obtain, compare, manage vendor quotes and bookings for drilling, testing, labs, and travel.
• Build and maintain project schedules; coordinate field work with engineers.
• Track scope changes and prepare change orders for approval; assist invoicing and collections.
• Set up projects in Deltek and HubSpot; maintain documents; close projects when complete.
• Watch for schedule risks and raise issues early.
