What You’ll Do
- Utilize a computerized scheduling system to schedule and book patient appointments, including complex interdisciplinary appointments, adjusting arrangements as needed, notifying patients and clinicians, and placing reminder calls.
- Register patients upon arrival, ensuring demographic and other information is complete and accurate, and inform the appropriate professional of the patient's arrival.
- Perform referral duties such as gathering missing information, data entry, processing paperwork, and scheduling referrals based on clinical criteria in collaboration with healthcare professionals.
- Handle receptionist and clerical tasks including answering calls, responding to inquiries, managing patient files, greeting patients, printing schedules, and escalating complex issues to relevant personnel.
- Maintain and assemble client charts according to procedures, and contact physicians’ offices or hospitals for information to ensure record accuracy.
- Keep various records by data entry, collating information, and maintaining logs on attendance, treatment types, cancellations, and waitlists, following up as necessary.
- Type and distribute correspondence, reports, notices, agendas, minutes, and spreadsheets using word processing and spreadsheet software, ensuring stylistic and grammatical accuracy.
- Support department operations by booking meetings, following up on action items, filing, routing paperwork, handling mail, faxing, photocopying, preparing mailers, circulating documents, and ordering supplies.
- Prepare and submit expense claims, ensuring proper coding and authorization, and maintain a billing system for invoices and reimbursements.
- Manage patient charts by requisition and retrieval, and obtain health record numbers for new patients.
- Assist the Clinical Resource Nurse with information gathering and supply tracking as needed.
- Perform other related duties as assigned.
Qualifications
- Grade 12 education plus two years’ recent relevant experience, or an equivalent combination of education, training, and experience.
- Knowledge of Indigenous-specific mandates, cultural safety, and humility, with a commitment to anti-racism and equity in healthcare.
- Understanding of the impacts of settler colonialism and systemic racism on Indigenous Peoples, and familiarity with related legislative obligations and foundational documents.
Core Competencies
- Awareness of Indigenous and systemic racism, with initiatives to promote a safe, inclusive environment informed by Indigenous Cultural Safety.
Skills & Knowledge
- Keyboarding at 45 w.p.m., knowledge of medical terminology, effective communication skills, organizational abilities, operation of related equipment, physical capacity for duties, and a commitment to ongoing learning about anti-racism and Indigenous issues.
