Job summary

AssessMed Edmonton is seeking a Referral Coordinator to manage referrals, schedule assessments, and handle related documentation in a fast-paced environment. This 12-month contract role is full-time and in-person, based at 10230 142 Street #300, Edmonton, AB.

Responsibilities include coordinating appointments, processing notes, arranging transportation, and maintaining accurate timelines to ensure high service standards.

Qualifications

  • Requires relevant post-secondary education
  • 3 years of client service or administrative experience, ideally in insurance/healthcare
  • Proficient with MS Office, Internet, Adobe Acrobat and case management software
  • Experience with SmartSimple is an asset
  • Strong organizational and multitasking abilities
  • Effective verbal and written communication skills
  • Ability to work independently with sound judgement
  • Knowledge of medical terminology is a plus

Responsibilities

  • Handle referrals, book appointments, process documentation and correspondence
  • Follow up on cancellations and no-shows and rebook when needed
  • Process clinical notes and record release requests
  • Maintain accurate timelines in the system and ensure timely bookings
  • Arrange transportation and interpreters for assessments
  • Greet guests and provide refreshments
  • Answer phone calls promptly and route to the appropriate person
  • Scan documents and manage filing and mail/couriers
  • Prepare rooms and assist with assessments as needed
  • Draft and send appointment reminders and medical document reminders
  • Identify potential service issues and notify management
  • Assist in updating administrative processes
  • Perform other duties as assigned

AssessMed Edmonton- Referral Coordinator

Location:

Status:

Temporary (12 month contract)

Full-time, In-person

Schedule:

Monday - Friday 8am - 4pm (with very occasional weekend clinic)

For over 30 years AssessMed has been completing independent, unbiased, evidence-based medico-legal evaluations and file reviews to several markets including but not limited to, auto insurance, defense and plaintiff tort medicals, Accident Benefits, Catastrophic claims, Life and Health Disability referrals as well as cases from HR representatives throughout corporate Canada. AssessMed is a true national provider with strategically located regional offices in BC, Alberta, Ontario (4), Quebec and the Maritime Provinces (2).

Responsibilities
  • Handle referrals, book appointments, process in our internal database, and process related documentation and correspondence
  • Follow up on cancellation and no shows, to see if the appointment should be rebooked
  • Process Clinical Notes and Record release requests;
  • Ensure accurate timelines are reflected in the system and ensure timely processing of all bookings;
  • Set up transportation and interpreters for upcoming assessments
  • Greet all guests and offer them coffee or water.
  • Answers phone in a timely manner, assist the caller or forward to the appropriate person/department
  • Scan documents and save in the appropriate drive
  • Handle daily filing, mail, couriers and manage supply cabinet
  • Chaperone for assessments as needed and prepare room distribution for the next day
  • Composing and typing correspondence
  • Send appointment reminders for upcoming assessments
  • Send medical document reminders for upcoming assessments
  • Identify issues that will impact on service standards and notify Management
  • Participate in updating the administrative processes
  • Other duties as assigned
Required Qualifications
  • Relevant post-secondary/community college education
  • 3 years’ experience working in a Client Service or administrative position, ideally within the insurance/health care environment
  • Comprehensive computer efficiency (MS Office Suite, Internet, Adobe Acrobat, case management software)
  • Experience with SmartSimple is an asset
  • Demonstrated organizational and multitasking skills
  • Enjoys working in a collaborative team environment
  • Effective verbal and written communication skills
  • Shows initiative and exhibits excellent judgement
  • Knowledge of medical terminology is a strong asset
  • Demonstrated ability to work with a high level of autonomy
