Job summary

AssessMed Edmonton is seeking a Referral Coordinator for a 12-month contract. This in-person role is based at 10230 142 Street #300, Edmonton, AB T5N 3Y6 and involves handling referrals, scheduling, document management, and front-desk support.

The successful candidate will have post-secondary education and at least 3 years in client service or administrative roles, with strong MS Office skills and experience in healthcare/insurance environments.

Qualifications

  • Proficient with MS Office, internet and PDFs.
  • Experience with SmartSimple is an asset.
  • Strong organization and multitasking abilities.
  • Collaborative work style with strong written and verbal communication.
  • Ability to work autonomously with good judgment.

Responsibilities

  • Handle referrals, book appointments, and manage documentation.
  • Process addendum requests and follow up on cancellations/no-shows.
  • Coordinate transportation and interpreters for assessments.
  • Greet guests and support front-desk activities.
  • Answer phones, scan documents, and maintain filing systems.
  • Prepare room distribution and chaperone assessments as needed.
  • Send reminders for appointments and medical documents.
  • Identify issues affecting service standards and report to management.
  • Assist in updating administrative processes.

Full-time, In-person

Schedule

Monday - Friday 8am - 4pm (with very occasional weekend clinic)

For over 30 years AssessMed has been completing independent, unbiased, evidence-based medico-legal evaluations and file reviews to several markets including but not limited to, auto insurance, defense and plaintiff tort medicals, Accident Benefits, Catastrophic claims, Life and Health Disability referrals as well as cases from HR representatives throughout corporate Canada. AssessMed is a true national provider with strategically located regional offices in BC, Alberta, Ontario (4), Quebec and the Maritime Provinces (2).

Responsibilities
  • Handle referrals, book appointments, process in our internal database, and process related documentation and correspondence
  • Process Addendum requests
  • Follow up on cancellation and no shows, to see if the appointment should be rebooked
  • Process Clinical Notes and Record release requests;
  • Ensure accurate timelines are reflected in the system and ensure timely processing of all bookings;
  • Set up transportation and interpreters for upcoming assessments
  • Greet all guests and offer them coffee or water.
  • Answers phone in a timely manner, assist the caller or forward to the appropriate person/department
  • Scan documents and save in the appropriate drive
  • Handle daily filing, mail, couriers and manage supply cabinet
  • Chaperone for assessments as needed and prepare room distribution for the next day
  • Composing and typing correspondence
  • Send appointment reminders for upcoming assessments
  • Send medical document reminders for upcoming assessments
  • Identify issues that will impact on service standards and notify Management
  • Participate in updating the administrative processes
  • Other duties as assigned
Required Qualifications
  • Relevant post-secondary/community college education
  • 3 years’ experience working in a Client Service or administrative position, ideally within the insurance/health care environment
  • Comprehensive computer efficiency (MS Office Suite, Internet, Adobe Acrobat, case management software)
  • Experience with SmartSimple is an asset
  • Demonstrated organizational and multitasking skills
  • Enjoys working in a collaborative team environment
  • Effective verbal and written communication skills
  • Shows initiative and exhibits excellent judgement
  • Knowledge of medical terminology is a strong asset
  • Demonstrated ability to work with a high level of autonomy
