A prominent educational division in Edmonton is seeking a Recruitment Coordinator to manage and coordinate recruitment and selection services. The role emphasizes effective onboarding, ensuring compliance with organizational policies, and implementing strategies for diverse hiring needs. Candidates should possess a diploma or degree in Human Resources, with strong communication and organizational skills enhancing the recruitment process.
The Recruitment Coordinator manages and coordinates all administrative functions for the recruitment team, and supporting the Recruitment and Retention Lead in delivering recruitment and selection services for the Division. The role focuses on recruiting for four employee groups : Alberta Teacher’s Association (ATA), Out of Scope (OOS), Alberta
Union of Public Employees (AUPE), and Unifor. By organizing recruitment activities, facilitating selection processes, and ensuring effective onboarding, the Coordinator contributes to the Division's goal of maintaining a skilled and diverse
workforce.
The position operates within the framework of Division policies and procedures, ensuring compliance and alignment with organizational objectives.
This position is eligible for a hybrid work schedule and is based out of Lumen Christi Catholic Education Centre (Capilano) and travel to Division sites within Edmonton is required.
Job Responsibilities
Coordinate Selection Processes (30%)
Conduct database searches, shortlist candidates, and screen applicants to identify the best fit for positions.
Generate and distribute correspondence to successful applicants, ensuring essential hiring documentation is received.
Track and report interview and recruitment data to maintain accurate records.
Respond to inquiries electronically, via telephone calls, or in-person visits to provide information and resolve issues.
Manage Recruitment Activities (25%)
Organize and participate in career fairs and presentations to attract potential candidates.
Advise external applicants on Division recruitment and selection processes to ensure clarity and transparency.
Develop and implement strategies for hard-to-recruit occupations and skill sets to meet staffing needs.
Identify alternative job posting options and methods to maximize exposure and reach target audiences.
Facilitate Onboarding Activities (25%)
Communicate with successful applicants to provide information and guidance on finalizing the hiring process.
Ensure communication on orientation is delivered to successful applicants to facilitate a smooth transition.
Collect and confirm staff credentials, including degrees, diplomas, certifications, and memberships necessary for specific functions.
Update applicant status and other relevant information in the Human Resource Management Information System (HRMIS).
Support Staff Replacement Activities (10%)
Assist in the recruitment, selection, and assignment of substitute staff to ensure continuous coverage.
Communicate with substitute staff to provide information and answer questions regarding assignments.
Develop and maintain information on substitutes and respective placements to manage the Replacement Roster effectively.
Administrative Analysis and Process Improvement (10%)
Coordinate interview panels, schedule interviews, and provide candidate information to panel members.
Recommend and implement changes to recruitment and administrative processes within the team to improve efficiency.
Generate reports for the manager to share with the Superintendents and Chief Superintendent.
Handle records management and generate a range of written materials and forms.
Qualifications
Diploma or degree in Human Resources or a related area.
Knowledge
Written and oral French language proficiency.
Understanding of collective agreements, OOS Terms and Conditions, Human Resource Services policies and procedures, and the Alberta Education Act.
Knowledge of staffing and interviewing techniques, principles, and practices.
Proficiency in Microsoft 365, electronic Human Resource Information Management System (HRMIS), staffing system, and attendance system.
Familiarity with data collection and analysis techniques and principles.
Awareness of Freedom of Information and Protection of Privacy Legislation and records management principles.
Knowledge of safe workplaces and Occupational Health and Safety Legislation and regulations.
Understanding of department policies, procedures, and operations, and the Division’s programs and operations.
