Join our team as a Records Management Coordinator in our Cambridge, Ontario facility!
The role is responsible for accurately controlling, processing, tracking, and distributing critical engineering documentation received / issued to / from vendors / customer for nuclear / thermal projects and sales orders.
ACCOUNTABILITIES
Document Administration
- Review documents / transmittals for discrepancies upon receipt.
- Update database when documents are returned from internal review and documents are formally issued to customers / vendors via Letter of Transmittals.
- Verify requested changes have been made when revisions to documents are submitted from vendors. Forward revised documents without discrepancies to internal review authority with latest submission / previous submission.
- Generate expediting reports for customers / PMs, IRAs, SM, etc.
- Issue letters of transmittal to customers / vendors and ensure submitted documents reflect the letter’s content.
- Prepare and maintain customer / vendor files in a structured format for easy retrieval by the project team during the contract lifecycle, ensuring files are accurate and readily available for audits.
- Prepare and scan project technical / customer / vendor / BWXT Canada Limited files electronically (PDF), store in electronic folders, authenticate, and OCR as per QAM Section 17, QOP-012, and QCI 706-002.
- Verify films returned from Micrographics, update database to locate records, and integrate non-microfilmed records with microfilmed records, updating database and identifying box locations for recall.
- Issue uncontrolled documents to vendors and maintain records in the database. Distribute quotations to buyers and engineers, and upon order confirmation, obtain purchase order numbers and issue controlled documents to vendors.
- Ensure Engineering revises VTS when additional documents are requested from vendors.
- Retrieve offsite stored files as needed, scan, authenticate, and OCR all contents.
- Use SharePoint for electronic documents sent to or received from customers and vendors, depending on file size or contract requirements.
- Transmit BWXT drawings to customers via PDM in Workflow as required.
KNOWLEDGE AND EXPERIENCE
- Minimum of 2 years of experience in Record Management and familiarity with Access software (business and database concepts), including Visual Basic programming.
- Knowledge of departmental procedures, document control concepts, electronic document management systems (Windchill), business systems, MS Office, Adobe Acrobat, Myriad, AutoCAD Mechanical, AutoCAD 2000, reprographic and scanning equipment, and organizational structure and interface.
The base salary range for this position in Ontario at the start of employment is expected to be between $46,000 and $66,000 per year. The actual salary offered will depend on market factors and the candidate’s knowledge, skills, and experience. The total compensation may include bonuses and benefits, details of which will be provided upon job offer.
