Job summary

Brandt is seeking a Receptionist for our Mississauga Brandt Peterbilt location. This role handles general office duties and departmental support, acting as a front-line representative of the organisation.

You will answer inquiries, refer requests to the right teams, prepare documents, manage mail, and coordinate meetings. A professional image and strong communication skills are essential to success in this role.

Qualifications

  • High school diploma or GED required or an acceptable education/experience mix.
  • 2–4 years of receptionist experience preferred.
  • Proficiency with Microsoft Office and basic office procedures.
  • Strong organizational, communication, and interpersonal skills.

Responsibilities

  • Respond to telephone, e-mail, and in-person inquiries from clients and staff.
  • Refer inquiries to the appropriate individuals or departments across Brandt.
  • Type forms, letters, reports, and memos as necessary.
  • Receive and distribute all forms of paper correspondence.
  • Coordinate meetings, events, and boardroom bookings with equipment.
  • Maintain a tidy reception area and manage office supplies.

Brandt is currently seeking a Receptionist for our Mississauga Brandt Peterbilt location. This position is responsible for general office duties and departmental assistance.

What You Will Be Responsible For
  • Respond to telephone, e-mail, and in-person inquiries from clients, candidates, and other parties
  • Refer all inquiries to the appropriate individuals, divisions, or departments across the organization
  • Type forms, letters, reports, and memos as necessary
  • Receive and distribute all forms of paper correspondence
  • Where necessary, assist in the compilation of data for various reports
  • Coordinate the logistical aspects of departmental programs, such as meetings, seminars, workshops, special projects, and events
  • Arrange and book meetings in boardrooms, off-site conference halls, and other locations; ensure the appropriate presentation equipment is there
  • As a front-line worker, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions
  • Provide information to staff and/or clients about special activities
  • Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence
  • Maintain the reception in a tidy and presentable manner
  • Ensure the necessary office supplies are stocked and obtained at the best possible price
  • Coordinate employee coveralls with the vendor of choice
  • Other duties as assigned
What We Look For
  • Experience working on a multi-line switchboard is considered an asset
  • High school diploma or GED, or an acceptable combination of education and experience
  • 2-4 years of direct work experience in a receptionist capacity preferred
  • Must have working knowledge of Microsoft Office
  • Strong organizational skills are required
  • Strong knowledge of general office procedures involving procurement, travel arrangements, budget management,etc.
  • Able to write simple correspondence, including memos, letters, etc.
  • General mathematical skills
  • Ability to apply understanding to carry out instructions in written, verbal, or diagram form
  • Able to maintain filing systems and basic databases
  • Excellent analytical and problem solving skills
  • Meticulous records maintenance skills
  • Superior telephone manners and strong interpersonal skills
  • Strong written and verbal skills to communicate with all levels of the organization and its executive team
