OCS UK & Ireland is seeking a proactive Receptionist/Facilities Support to manage front-of-house, greet visitors, handle calls, and coordinate room bookings.

You will maintain a safe, tidy reception, support offices with MS Office, and assist with facilities processes, courier bookings, and general admin tasks.

The role requires excellent customer service, strong communication, confidentiality, and the ability to multitask as part of a flexible team.

Qualifications

Responsibilities

  • Operate the switchboard and provide information to callers.
  • Welcome visitors, verify security ID, and announce to hosts.
  • Book and coordinate meeting rooms; liaise to set up rooms.
  • Arrange couriers and manage incoming/outgoing consignments.
  • Handle taxi bookings and courier deliveries.
  • Maintain a clean, welcoming reception area with stocked materials.
  • Deliver excellent customer service.
  • Communicate clearly, both verbally and in writing.
  • Knowledge of Facilities Management processes.
  • Organise workload and prioritise tasks efficiently.
  • Facilities Management experience may be advantageous.
  • Be a flexible team player with discretion.

About The Role

Key Responsibilities
  • Operating the Switchboard, dealing with the public and internal calls as appropriate. Providing information to callers, taking and relaying messages efficiently
  • Responsible for all visitors, from initial welcome to ensuring they are issued with correct security identification. All visitors must be announced to their host & ensure visitor is met by their host
  • Administration of the booking of meeting rooms. Take reservations, monitor daily meetings & liaise with general operative to ensure rooms are set up properly
  • Booking couriers, responsible for ensuring both incoming and outgoing consignments are received and delivered.
  • Deal with taxi bookings, booking couriers ensuring both incoming and outgoing courier consignments are received and delivered
  • Maintain a safe & clean reception area, ensuring lay out is tidy and welcoming and materials are replenished
  • Excellent customer service
  • Strong communication (verbal & written) and interpersonal skills experience
  • Knowledge of processes around Facilities Management
  • Good organisational & administration skills and ability to prioritise workload efficiently
  • Microsoft Office products including MS Word, Excel, PowerPoint and Outlook
  • Ability to multitask and keep multiple customer issues in progress at once
  • Problem solving skills
  • Facilities Management experience may be advantageous
  • A flexible attitude and a proven record as a strong team player
  • Utmost discretion and confidentiality in all matters relating to work is essential
