What will you do?

  • Knowledgeable of the programs and services offered by Prospect; provides clients and interested parties with information in regards to a particular service or program offered by Prospect
  • Greets and pleasantly engages with visitors, ensuring they sign in
  • Acts as central point of contact for staff and client requests and prioritizes tasks based on urgency
  • Orders, secures, and maintains all necessary office supplies, ensuring no interruption in service
  • Receives and responds to all incoming phone calls, voicemails, mail, email, faxes, and general inquiries with accurate information as per policy/procedure
  • Assists Administration, IT and/or Facilities teams with equipment troubleshooting
  • Distributes and receives shipments, couriers, mail and faxes
  • Updates all contact lists on a timely basis to include new contacts and modify existing ones
  • Provides support with data entry and data analysis as required
  • Ensures consistent messaging is adhered to in all written communication
  • Assists to manage equipment inventory and bookings
  • Assists with meeting room bookings for internal team members
  • Coordinates phone system and updates company directory
  • Cares for and controls company letterhead and prints letters as required
  • Performs mail merges; prepares and prints various labels
  • Assists in document control – shreds confidential and sensitive documents when required
  • Assists the administration team with event planning – catering and food preparation, room set up and tear down
  • Maintains/cleans general administrative areas: front reception, boardroom, file room, storage space, and back station
  • Assists support and direct staff with various “one off” duties such as typing up notes, various documents and intake forms, formatting documents, laminating, preparing V Cards, preparing and distributing certificates, ASL class preparation, price checking, providing receipts for service, updating the client money tracker, and recording training
  • May assist with Mobius entries
  • Complies with company policies/procedures, provincial, privacy and other job related legislation
  • Champions Prospect’s goals, vision, mission and brand pillars

What does it take to do this job?

  • Post-secondary education, preferably in an Administration program
  • 2+ years of professional experience, including 1 year or reception experience, and demonstrated reliability shown in past positions or in education
  • Some post-secondary education and/or an equivalent combination of education and professional experience will be considered
  • Intermediate to Advanced skill level in Microsoft Office (Word, Excel, Outlook and PowerPoint); experience in Mobius or other related applications/programs is an asset
  • Strong verbal and written communication skills with experience in writing professional letters and business emails, compiling reports and charts, and building creative presentations
  • Solid interpersonal and client service skills with the ability to work effectively with a variety of stakeholders including Clients, Program Supervisors, and other administrative staff
  • Proven ability to multi-task and efficiently respond to changing priorities
  • Demonstrated ability to work in a confidential environment and handle highly sensitive information
