Job description

Regional Fertility Program is hiring a Full-time Receptionist for our clinic located in Calgary.

The Receptionist performs a wide variety of administrative tasks and provides both in person and phone/electronic assistance for patients. It is imperative that as a front-line staff person, the Receptionist acts at all times with the utmost professionalism, courtesy, and respect. The Receptionist is responsible for maintaining a peaceful, calm environment in the patient waiting areas.

Primary Responsibilities :
  1. Greet and process all patients, ensuring demographic, financial (including direct patient billing), and clinical data are correctly entered into the electronic medical record (EMR).
  2. Receive patients at the clinic and enter the visit in the EMR.
  3. Maintain the clinic database.
  4. Answer telephone calls, triage calls, clear voicemail mailboxes, and relay messages.
  5. Direct callers to appropriate services as necessary.
  6. Address general inquiries concerning programs within the clinic.
  7. Process payments made to the clinic, including intake, processing, and closing out daily cash.
  8. Print and review doctors' billing sheets at the end of the day.
  9. Escort patients to ultrasound rooms and provide basic instructions.
  10. Provide new and existing patient records (referrals) for each scheduled clinic, including partial preparation of new charts and stamping of appropriate documents/forms.
  11. Locate and forward health record documents/reports as requested to physicians.
Additional Responsibilities :
  1. Notify patients of appointment times on weekends, e.g., IUI, laminaria tent insertion.
  2. Reconcile daily Payment Summaries as indicated on HealthQuest.
