Reporting to the Public Works Manager, the Public Works Clerk provides comprehensive administrative, customer service, records management, and financial support to the Public Works Department in Lac Ste. Anne County. This position serves as a key point of contact for internal and external stakeholders, coordinates departmental documentation and records, processes financial and operational data, and supports the efficient delivery of Public Works services.
Duties and Responsibilities
Duties and responsibilities are as follows but are not limited to:
Administrative and Operational Support
- Perform all general administrative functions in support of Public Works operations as directed by the Public Works Manager and General Manager of Operations.
- Serve as the primary point of contact for internal and external stakeholders regarding all aspects of Public Works operations.
- Prepare a variety of correspondence and documentation, including letters, agendas, memorandums, meeting minutes, forms, reports, agreements, and other related materials.
- Assign and enter work orders as required.
- Support and provide backup coverage for the Fleet & Shop Clerk operating at the County Office.
- Prepare, complete, and maintain data entry, reports, reconciliations, and tracking spreadsheets.
- File, scan, and manage Public Works records using approved records management systems and tools.
- Code and process accounts payable and cost data within the WorkTech system.
- Prepare and distribute invoices as required.
Other Duties
- Performs other related duties as assigned by the Public Works Manager or the General Manager of Operations
Qualifications
Education and Experience:
- High School Diploma with a minimum of three (3) years of related administrative experience.
- Experience working in an office or administrative setting.
Skills & Attributes:
- Strong organizational and administrative skills with attention to detail.
- Excellent customer service and interpersonal communication skills.
- Ability to manage multiple tasks and deadlines in a demanding environment.
- Proficiency in Microsoft Office/Microsoft 365 applications.
- Comfortable working with computers, databases, and web-based applications.
- Ability to work independently and collaboratively.
- Experience in a municipal or public sector environment is an asset.
- Valid Alberta Class 5 Driver’s License with an acceptable driver’s abstract.
Working Conditions
- This is a full‑time, permanent position.
- The normal work schedule is 35 hours per week, Monday to Friday.
- Regular hours of work are 8:30 a.m. to 4:30 p.m.
- The position is based in a professional, business-casual office environment, requiring extended periods of sitting, use of a computer, and regular interaction with staff.
