Job summary

Cushman & Wakefield in Calgary is seeking a Property Administrator (CRE) to manage day-to-day tenant deposits, receivables, and general admin for a large retail/office portfolio. You will ensure accurate posting to owner reporting and lease administration across two office towers with about 612,000 sq ft of retail.

The role requires 5+ years in accounting/administration, strong communication, and the ability to multi-task.

Qualifications

  • Post-secondary education required, with a focus in accounting.
  • Prior experience in property management or real estate is an asset.
  • Minimum 5 years’ experience in an accounting/administrative role.
  • Strong written and verbal communication and highly organized.
  • Must be self-motivated, able to work independently and in a team.
  • Experience with MRI is an asset along with MS Office proficiency.
  • Clear Criminal Record Check is required.

Job Description Summary

Working in a fast-paced team environment; managing the day-to-day processing of tenant deposits, receivables, general administration and all information related to tenant billings as it pertains to the management of a retail/office portfolio in excess of 2.0 million square feet.

Job Title

Property Administrator (CRE)

Primary Tasks and Responsibilities
  • Review, record and deposit all tenant rents and miscellaneous deposits daily.
  • Reconcile and apply cash to tenant A/R accounts and obtain property. management approval for submission to H/O accounting for posting.
  • Review and record all electronic transfers of funds as they relate to the property.
  • Record all miscellaneous cash items in cooperation with head office accounting.
  • Track incoming and outgoing tenancies for three office towers and approximately 612,000 square feet of retail, including coordinating the communication of events on these moves to ensure timely and accurate information is provided to H/O for lease administration and tenant billings.
  • Process monthly summary of charges for approval by property manager.
  • Reconcile monthly rent roll and review of updates.
  • Provide all rental notices to tenants on lease commencement and any rental increases.
  • Maintain security deposit ledger reconciliations.
  • Assist with cost analysis and tracking of various expenditures as required.
  • Review and report on monthly utility tracking information.
  • Research payment history and reconcile tenant accounts and produce statements of account upon tenant request.
  • Prepare default notices for delinquent rental payments, ready for property manager signature.
  • Prepare arrears reports for individual buildings for monthly owner reporting books.
  • Prepare detailed explanation of account balances and status of collections.
  • Complete collections calls while building positive tenant relations.
  • Provide explanations to property managers on all outstanding arrears.
  • Assist with the budget process, including data entry and distribution of budgets.
General Administrative Duties
  • Assist property management team with other projects as they arise in relation to the management and reporting of information on the property.
  • Assist other administrative staff with projects where required.
  • Ensure timely distribution of reports / forms as required by H/O accounting department.
  • Relieve receptionist for breaks on a rotating schedule with other administrative staff.
  • General filing, including organization of lease and tenant files.
  • Other duties as assigned.
Skills And Experience Required
  • Post-secondary education required, with a focus in accounting.
  • Prior experience in the Property Management or Real Estate field a definite asset.
  • Minimum 5 years’ experience in an accounting / administrative roll.
  • Strong written and verbal communication skills along with excellent interpersonal skills.
  • Highly organized.
  • Must be self motivated, ability to work both independently and in a team environment.
  • Must have ability to multi-task and to continuously adjust priorities.
  • Willingness to accept additional responsibilities, beyond specific duties, to assist management team.
  • Enthusiastic and a willingness to learn.
  • Experience with MRI is a definite asset along with proficiency in Microsoft Suite of Products – Word, Excel, Outlook.
  • Must be able to provide Clear Criminal Record Check.
Compensation

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $ 62,538.75 - $73,575.00
