This position is located Vaughan, full-time in-office.

Hays Specialist Recruitment has partnered with a property management company located in Vaughan, ON. We are looking to hire a Property Administrator on a 1-month contract, with the possibility of extension or permanency. The candidate will work from their Vaughan office full-time.
Your New Role
- Administer tenant accounts receivable, including processing monthly rent cheques and EFT/PAD payments, and monitoring/collection of arrears.
- Process monthly recurring billing.
- Code, process, and enter incoming invoices via Nexus accounting software.
- Assist with the preparation of property budgets.
- Assist with the distribution of annual budget reconciliation, RANs, and manual invoices.
- Prepare statements of account as needed.
- Maintain an up-to-date tenant contact list for all properties.
- Maintain an up-to-date contractor list, set up new vendors, and ensure compliance standards are met.
- Maintain utility registers and assist the Property Manager with tracking utility payments.
- Prepare monthly accruals.
- Assist with special projects, including preparing various consolidated reports.
- Prepare and issue tenant billings, rental advice notices, and other routine tenant correspondence.
- Review tenant and head lease abstracts, ensure rent roll accuracy, and assist the Property Manager with rent roll simulations and reviews.
- Process tenant service requests and dispatch contractors as advised by the Property Manager or as required.
- Perform clerical duties such as word processing, filing, photocopying, and scheduling.
- Additional related duties may be assigned as required.
Requirements:
- Previous property administration or related office experience.
- Accounts payable and receivable experience is an asset.
- Strong computer skills, especially with Excel, and keen attention to detail.
- Excellent written and verbal communication skills, with an approachable manner.
- A self-starter capable of working independently.
- Skilled in JDE, Yardi, or MRI.
