Job Description

Reporting to the Property Manager, the Property Administration role is responsible for supporting all aspects of the day-to-day activities for The Post. This position requires strong analytical skills, exceptional attention to detail, and the ability to work effectively in a fast-paced environment.

Responsibilities

Accounts Payable

  • Process all vendor invoices in Yardi Voyager.
  • Investigate overdue balances diligently (vendor statements).
  • Support Procurement Team by following up on expired COI and WCB Clearances.
  • Collect compliance requirements for new vendors and set up new vendors in Yardi.
  • Create and close vendor Purchase Orders.
  • Prepare and reconcile monthly Visa transaction statements in Workday.
  • Prepare and distribute letters to vendors for year-end cut-off.
  • Review and prepare year-end accruals list.
  • Manage Capital Project updates in Construction Manager, assist with contracts and monthly forecasting, and process capital invoices.

Accounts Receivable

  • Review monthly Recurring Comparison reports for upcoming charges, ensuring accuracy and understanding variances.
  • Pursue outstanding rents; send reminders, demands, and default letters as needed.
  • Analyze and respond to monthly aged receivables; prepare statements and respond to tenant inquiries.
  • Enter Pursuits notes into Yardi by the 10th of each month.
  • Provide tenant security deposit reports.
  • Administer lease-related payments (e.g., tenant allowances).
  • Enter monthly tenant sales and update sales reports tracker; generate percentage sales invoices as required.

Administrative Tasks

  • Ensure tenant insurance certificates compliance.
  • Assist with tenant events.
  • Prepare and distribute quarterly electricity statements and annual carbon reports to tenants.
  • Provide rent rolls, vacancy, and occupancy reports to Brightly.
  • Assist with annual budgets and reforecasts.
  • Prepare and distribute rental notices and year-end adjustments.
  • Handle tenant correspondence and maintain files on SharePoint.
  • Review service contract files quarterly in Agiloft.
  • Maintain and update tenant and property contact information in CRM and Yardi.
  • Liaise with tenants for timely communication.
  • Manage parking setup and payment collection from parkers.

Experience and Qualifications

  • Post-secondary education or equivalent experience in business, real estate, or accounting.
  • 4+ years of administrative experience, preferably in property management or real estate.
  • Proficiency in Microsoft Office; knowledge of Yardi is an asset.
  • Strong communication skills, professional demeanor, conflict resolution skills, and integrity.
  • Highly organized, detail-oriented, and able to manage multiple priorities under pressure.
  • Self-motivated, proactive, and eager to improve property management services.
  • Results-oriented with a focus on accuracy and service excellence.

The annualized base salary range is $65,000 - $74,000, with actual offers based on skill, experience, and other factors.
