The Role

Reporting to the Senior Property Manager, the Property Administrator will be responsible for providing various services to effectively operate and maintain a portfolio of retail properties. Responsibilities include accounts receivable reporting, accounts payable processing, budgeting, supplier invoicing, rent roll review, and tenant communication. You will be an integral part of the team, supporting the delivery of “best in class” property operations to enhance our assets and tenant relationships.

What You Will Do
  • Provide critical administrative support to the property management team.
  • Review monthly rent-roll and pre-authorized debit reports.
  • Perform accounts receivable reporting, including bank deposits, form filling, and commentary input.
  • Prepare and process purchase orders and accounts payable invoices.
  • Manage tenant chargebacks, utility payments, and assist with ESG reporting.
  • Prepare tenant statements and manage account reconciliations.
  • Issue notices to tenants and prepare tenant notifications and refunds.
  • Assist with budgets and monitor tenant insurance and sales reports.
  • Coordinate tenant move-in and move-out documentation.
  • Liaise with operations, property accountants, lease administrators, and legal teams.
  • Participate in special projects and perform other duties as assigned.
What You Bring
  • 1-3 years of administrative experience, ideally in property management.
  • Understanding of basic accounting principles.
  • Post-secondary education in business, accounting, or related field is an asset.
What You Need To Be Successful
  • Exceptional customer service skills and ability to create connections.
  • Problem-solving and solution-oriented mindset.
  • Excellent communication skills for engaging with tenants, suppliers, and teams.
  • Strong attention to detail and time management skills.
  • Proficiency in Microsoft Office; experience with JDE and Building Engines is a plus.
