The Property Administrator will provide administrative support to the Marcon property management team, ensuring the smooth and efficient operation of the firm’s residential and commercial properties. This role will involve tenant relations, lease administration, accounts payable/receivable coordination, and assisting with building maintenance requests. The Property Administrator will play a key role in supporting the day-to-day functions of property management while maintaining a high level of professionalism and customer service. About The Role
Administrative & Tenant Support
- Act as the first point of contact for tenant inquiries, responding promptly and professionally. Maintain and update tenant records, lease agreements, and contact information.
- Assist in preparing and distributing tenant notices, communications, and building updates.
- Support leasing efforts by coordinating unit showings and processing rental applications.
- Utilize tenant portals and CRM systems to manage tenant communications and track service requests efficiently.
Lease & Financial Administration- Track lease expirations, renewals, and upcoming rent increases.
- Assist with lease documentation, amendments, and renewals.
- Coordinate rent collections, review rent rolls, and follow up on outstanding balances.
- Process accounts payable and receivable, including invoice coding, approvals, and vendor payments.
- Prepare financial reports and summaries as required.
Operations & Maintenance Coordination- Monitor and track service requests, ensuring timely responses and follow-ups.
- Communicate with vendors, contractors, and building maintenance teams to coordinate repairs and services.
- Maintain a log of maintenance requests and ensure issues are addressed efficiently.
- Assist in ensuring compliance with all health, safety, and building codes.
- Step in to assist the Property Manager in their absence, ensuring that tenant concerns, maintenance requests, and operational issues are managed effectively.
General Office & Administrative Duties- Organize and maintain property management files, records, and documentation.
- Support the property management team with scheduling, meeting coordination, and correspondence.
- Assist in budget preparation, expense & timesheet tracking.
- Participate in property inspections and document findings as needed.
- Assist in developing and refining Standard Operating Procedures (SOPs) to improve efficiency and consistency across property management operations.
About You- 2+ years of experience in property management, real estate administration, or a related field.
- Knowledge of lease administration, property operations, property accounting, and tenant relations.
- Strong organizational and multitasking abilities with attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and property management software.
- Yardi and RentCafe experience a significant asset (including Voyager, tenant portal, CRM, Maintenance IQ, Concierge IQ).
- Ability to work independently and in a team environment.
- Familiarity with BC Residential Tenancy Act and commercial lease agreements is an asset.

The compensation range for this role is $55,000 - $65,000 annually, depending on the candidate's experience and qualifications.
