The Property Administrator reports to the Manager, Property Administration. Responsibilities include general administration and customer service.
Responsibilities
- Customer Service: Respond to resident inquiries via email or phone, update resident files, and ensure information accuracy.
- Yardi Software: Utilize Yardi comprehensively to maintain consistency across the organization.
- Reporting: Assist in updating and producing weekly management reports in collaboration with Property Managers and Accountants.
- Legal Notices: Process legal notices such as N1s, N4s, building notices, and resident letters; prepare L1 and collection files.
- Financial Processing: Manage rent receipts, bank runs, copy checks, and coordinate with accounting; handle small balance letters and arrears communication.
- Lease Management: Process move-ins and move-outs in Yardi, update spreadsheets, and coordinate with accounting for charges and ledger updates.
- Operational Support: Answer resident questions, update resident files, and work with leasing and marketing teams to ensure accurate and current rental information and advertisements.
- Website and Content Management: Upload and edit property content, insert tracking codes, test new features, and troubleshoot portal issues.
- Marketing and Content Creation: Write Google posts, blogs, and 'how-to' documents; create marketing collateral using InDesign and Adobe Creative Suite.
- Resident Relations and Maintenance: Organize resident welcome packages, monitor satisfaction surveys, coordinate maintenance scheduling, and respond to concerns.
- Vendor and Contract Management: Negotiate and coordinate services, ensure vendor insurance and WSIB certificates are current.
- Health & Safety: Assist in creating and maintaining safety protocols.
- Technology and Efficiency: Identify opportunities for operational efficiencies through technology.
- Inventory Management: Oversee warehouse supplies.
Education, Qualification, and Experience
- Minimum 2 years of residential property administration experience.
- Strong attention to detail and accuracy.
- Highly organized with excellent multitasking skills.
- Effective interpersonal and communication skills.
- Ability to work independently and in a team environment.
- Experience with Yardi software and knowledge of the Landlord Tenant Act.
- Degree/diploma or equivalent experience.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
