The Property Administrator reports to the Director, Property Management, providing administrative and operational support, and ensuring effective communication and guidance.

Key Responsibilities

  1. Maintain strong financial knowledge, including accounting procedures, account reconciliation, and financial data interpretation.
  2. Be detail-oriented, work under pressure, meet deadlines, and prioritize tasks effectively.
  3. Provide excellent customer and tenant service, building relationships and resolving issues promptly.
  4. Assist with implementing new programs and ensuring policy compliance.
  5. Proficient in Microsoft Word, Excel, Outlook, and property management software like Yardi.
  6. Organize and multitask efficiently, communicating clearly both in writing and verbally.
  7. Work independently and collaboratively, demonstrating professionalism and flexibility.
  8. Support asset presentation and operations alongside the Property Manager, focusing on long-term profitability.
  9. Contribute to annual budgeting processes for assigned properties.
  10. Handle correspondence, rent collection, account reconciliation, and billing review.
  11. Monitor tenant accounts, minimize delinquencies, and report on receivables.
  12. Prepare invoices, statements, and liaise with tenants and accounting.
  13. Assist with lease management, tenant relations, and contract supervision.
  14. Coordinate maintenance, service contracts, inspections, and ensure compliance with safety and legal standards.
  15. Prepare financial reports, budgets, and support property management documentation.
  16. Possess 3+ years of related property management experience or relevant education.
  17. Exhibit strong communication, interpersonal, and organizational skills, with a focus on customer service.
  18. Be results-oriented, precise, and attentive to details, with proficiency in relevant software systems.
