Role Overview

Reporting to the Supervisor, Property Administration, this role provides support for all aspects of day-to-day activities for the Western Canadian Place and Westmount Corporate Campus. It requires strong analytical skills, exceptional attention to detail, and the ability to work effectively in a fast-paced environment.

Responsibilities
  1. Accounts Payable
    • Processing vendor invoices in Yardi Voyager
    • Investigating overdue balances (vendor statements)
    • Supporting Procurement with follow-ups on expired COI and WCB Clearances
    • Collecting compliance requirements for new vendors / setting up vendors in Yardi
    • Creating and closing vendor Purchase Orders
    • Preparing and reconciling monthly Visa statements in Workday
    • Preparing and distributing year-end letters to vendors
    • Reviewing and preparing year-end accruals
    • Managing Capital Projects, updating jobs in Construction Manager, assisting with contracts and forecasting, processing invoices
  2. Accounts Receivable
    • Reviewing monthly Recurring Comparison reports for upcoming charges
    • Pursuing outstanding rents, sending reminders and demands
    • Analyzing aged receivables, preparing statements, and responding to tenant inquiries
    • Entering Pursuits notes into Yardi by the 10th of each month
    • Providing tenant security deposit reports
    • Administering lease payments (e.g., tenant allowances)
    • Entering monthly tenant sales and updating reports, generating invoices as needed
  3. Administrative Tasks
    • Collecting tenant insurance certificates for compliance
    • Assisting with tenant events and preparing utility and carbon reports
    • Providing rent rolls, vacancy and occupancy reports
    • Assisting with budgets and reforecasts
    • Preparing rental notices and year-end adjustments
    • Maintaining tenant and property files on SharePoint
    • Reviewing service contracts and updating contact info in CRM and Yardi
    • Liaising with tenants and managing communication
    • Overseeing parking setup and payments
Experience and Qualifications
  • Post-secondary education with experience in business, real estate, or accounting
  • 4+ years in administrative roles, property management experience preferred
  • Proficient in Microsoft Office; knowledge of Yardi is an asset
  • Strong communication, organizational, and multi-tasking skills
  • Ability to work under pressure, handle multiple priorities, and adapt to change
  • Results-oriented with high attention to detail and integrity
