Established in 1976 the Saskatchewan Indian Institute of Technologies (SIIT) is a First Nation governed post-secondary institution. Recognized under provincial legislation, the Institute has been conferred authority to grant certificates and diplomas. SIIT welcomes over 2400 students into our urban and community programs annually as well as serving over 6000 clients through our ten Career Centres across the province. Nature and Scope

The Project Manager is responsible for the coordination, administration and completion of projects on time, within budget and within scope. The position serves a key role in supporting the goals and outcomes of the Facilities Department. This position will positively promote and create an environment that demonstrates SIIT's vision, mission, and mandate.

General Accountability

The Project Manager is responsible for the organization of Facilities projects from start to finish, including project development, administration, monitoring, and overseeing of assignments, and completing evaluations.

Specific Accountabilities

The Project Manager will assist in the definition of project scope and objectives, involving all relevant internal and external stakeholders and ensuring overall feasibility. The Project Manager will assist with overseeing the design, planning, implementation of projects that involve multiple functional areas across partnership institutions. This position provides additional support as required and includes the following broad range of accountabilities:

Coordination, Monitoring, Administration

  • Identify, initiate, and support the management of projects for the Facilities Department as requested
  • Develop a detailed project plan to schedule, monitor and track progress using project management software
  • Manage changes to the project scope, schedule and costs as required using appropriate verification and communication techniques
  • Create and maintain comprehensive project documentation
  • Monitor progress toward goals and milestones and provide regular project progress reports to the Director
  • Assist the Director in the overall operations, financial performance, and success of the Facilities project load
  • Work closely with relevant personnel and partners to ensure project engagement strategies and meetings for stakeholders
  • Prepare and submit reports to internal and external stakeholders as required; participate in project follow-up surveys
  • Collect data on events, trainings, meetings, assess results, and make recommendations for future project planning and execution
  • Research SME's, contractors, sub-trades, and other resources for projects
  • Oversee project correspondences and prepare and review project related emails, letters, proposals, memos, meeting minutes and other documents
  • Ensure compliance with relevant policies and regulations

Partnering & Reporting

  • Assist Director by engaging with internal and external stakeholders to identify and define project requirements, scope, and objectives
  • Promote awareness of Facilities initiatives and projects
  • Ensure students and stakeholder needs are met as the projects evolve, and collaborate on strategies with the Director where applicable
  • Develop engagement strategies, resources and session materials
  • Provide regular updates on project activities to the Director, internal and external partners and stakeholders
  • Liaise with faculty, staff, and students as required and encourage innovative solutions to challenges as they arise
  • Develop, promote and maintain positive working relationships with other institutes and partners, in order to meet community, professional, development and educational needs
  • Ensure strict confidentiality and privacy of information as it relates to students, clients, staff, partners, and other third parties
  • Contribute to strategic effectiveness by participating on internal and external committees, as requested by supervisor
  • Build and maintain positive relationships with stakeholders

Project Resource Allocation

  • Assist in development and monitor budgets for all programs / projects as requested
  • Ensure sufficient resources are available to implement projects
  • Review all contracts and provide recommendations to the Director prior to the commencement of the project
  • Review purchase orders for accuracy pertaining to the projects
  • Review invoices and expenses for payment as related to projects.
  • Ensure resources are allocated in accordance with the financial planning and operating budget and SIIT processes.

Required Qualifications and Experience: Successful completion of a related post-secondary degree or trade qualification with three to six years of experience in project management and administration/coordination. Certification in project management is an asset. An equivalent combination of education and experience may be considered. Knowledge of First Nations cultures and organizations would be an asset. Candidate must have a valid driver's license and reliable transportation as travel may be required.

As this position is considered safety sensitive, the incumbent will be subject to testing as per SIIT's Alcohol and Substances policy.
