Your opportunity

We're looking for a highly motivated and skilled Executive Assistant to support our President. This role involves comprehensive administrative, organizational, project coordination, and communication support, operating in a fast-paced, professional environment. Work Schedule:

This is an office-based position at Dillon’s North York office. The Executive Assistant is expected to be in the office four times a week. We offer flexible work hours to support work-life balance.

Responsibilities

What You'll Do: Make a Real Impact

  • Manage projects and execute strategic initiatives by establishing goals, managing timelines, monitoring progress, tracking budgets, and providing updates to the President.
  • Finalize and distribute business summaries and reports.

Executive Partnership:

  • Serve as a confidential administrative partner to the President.
  • Coordinate the President’s schedule, meetings, and prepare materials.
  • Draft executive communications, briefing notes, and presentations.
  • Support financial oversight by coordinating budget reports and business plan objectives.
  • Track requests and action items to ensure key deliverables are met.
  • Act as a liaison with internal and external stakeholders.
  • Manage confidential information and electronic filing systems.
  • Arrange business travel logistics.
  • Prepare agendas, minutes, and coordinate meetings and events, including virtual setups.
  • Assist with planning large-scale corporate events and initiatives.
  • Occasional business travel may be required.

Qualifications

  • Strong business acumen with experience interpreting financial and business reports.
  • Exceptional organizational skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to build positive relationships at all levels.
  • Tech-savvy, adaptable, with proficiency in MS Office and familiarity with emerging technologies like AI.

Experience

  • 3-5 years in project and administrative management.
  • Creative, enthusiastic about automation and technology.
  • Experience in finance, start-up, or tech sectors is a plus.
