Position Overview
The Project Manager Assistant supports the Project Manager by coordinating project activities to ensure smooth execution from start to finish. The role involves managing multiple projects in a fast-paced environment and requires excellent organization and communication skills.
Job Duties
- Communicate effectively with property owners, managers, tenants, subcontractors, and insurance adjusters
- Assist Project Manager with project lifecycle, including documentation, scheduling, and invoicing
- Ensure all project documentation is accurate and uploaded appropriately
- Support customer communication and interactions
- Obtain necessary work authorizations, completion certificates, and other documents
- Complete and upload work orders and purchase orders timely
- Assist with invoicing and support receivables
- Act as liaison between customer and Project Manager to ensure project success
- Address questions and concerns during projects
- Support Project Manager with various tasks as needed
- Track project changes and update schedules accordingly
- Review project information and compile schedules promptly
- Coordinate mitigation/restoration work with staff and subcontractors
- Prepare and edit project documents such as scopes of work, estimates, and correspondence
- Organize and file project documents
- Support project completion documentation and client communication
- Report issues to the Project Manager
- Provide short-term coverage for Project Manager absences
- Assist with reception duties as needed
- Deliver excellent customer service
- Work under time constraints and ensure attention to detail
- Follow safety policies and procedures to maintain a safe work environment
- Comply with BELFOR policies and legislative requirements
- Proactively communicate job site conditions and concerns
- Attend BELFOR training courses
Qualifications
- Post-secondary administration courses or certification
- At least 1 year of restoration, insurance, or construction coordination experience
- Knowledge of Xactimate and/or XactAnalysis is preferred
- Ability to handle sensitive information confidentially
- Strong organizational skills and ability to meet deadlines
- Excellent customer service skills
- Valid driver’s license per BELFOR vehicle policy
- Ability to work independently and within a team
- Strong written and verbal communication skills
- Proficiency in Microsoft Office and Google Suite
- Willingness to work evenings, on-call, and weekends as needed
- Periodic travel may be required
- Criminal Record Check required
