Job summary

Qualifications

  • Knowledge of digital economy trends, AI and tech-enabled roles is an asset.
  • Experience supporting event logistics, stakeholder communications, and documentation processes.

  • Coordinate logistical arrangements for FutureReady Her program activities, including scheduling, venues, platforms, materials, and attendance.
  • Provide admin support for sessions, employer engagement, and related events in the digital economy and AI workforce pathways.

Position Summary

FutureReady Her is an innovative workforce development initiative designed to equip newcomer women with the AI, digital, and career skills needed to succeed in Canada’s evolving labour market. The program combines hands‑on skills training, industry‑recognized micro‑credentials delivered in partnership with leading institutions including the Rotman School of Management, and real‑world work‑integrated learning opportunities with employers across the digital economy. Grounded in trauma‑informed, culturally responsive, and gender‑responsive delivery, and supported by comprehensive wraparound services, FutureReady Her creates pathways to meaningful employment and long‑term economic inclusion for newcomer women.

The Project Coordinator provides administrative and logistical support to ensure the effective implementation of program activities. Reporting to the Manager, this role is responsible for coordinating event logistics, maintaining documentation, supporting stakeholder communications, and assisting with day‑to‑day operational activities. This role requires strong organizational skills, an understanding of digital and AI workforce pathways, and a commitment to gender equity, trauma‑informed practice, and inclusive employment strategies.

Key Responsibilities
  • Coordinate logistical arrangements to support activities delivered through the FutureReady Her program, including scheduling sessions, booking venues, configuring digital platforms and tolls, preparing materials, and confirming participant and stakeholder attendance
  • Provide administrative support for information sessions, employer engagement activities, community consultations, and program‑related events connected to the digital economy and AI‑workforce pathways.
  • Support outreach and engagement efforts by preparing and maintaining digital contact lists, CRM or tracking tools, and communication materials to attract and inform potential participants, sector partners, and employers.
  • Collaborate with the program Manager to track timelines, milestones, and deliverables and to support program coordination.
  • Liaise with internal departments and external community organizations to ensure effective communication and service coordination.
  • Support ongoing engagement with employers, industry professionals, and sector stakeholders connected to AI, digital, and emerging technology fields.
  • Respond to routine program inquiries from participants and partners and elevate complex issues to the Manager as appropriate.
  • Compile activity summaries, data and participant feedback for review by the Manager to support reporting requirements.
  • Ensure that a client‑centered and equity‑informed approach is integrated across all activities.
  • Perform other related administrative and program support duties as assigned in support of the FutureReady Her initiative.
  • Provide individualized/group support to clients, including, service plans, job search strategies, résumé and cover letter development and interview preparation
  • Coordinate and process internship/stipend agreements, including assessing client and employer eligibility, collecting required documentation, maintaining accurate records, tracking payments and deadlines, and ensuring compliance with program guidelines and funding requirements.
Position Minimum Qualifications
  • Minimum of bachelor's degree in business administration, Project Management, Information Technology, Digital Media, Community Engagement, Social Work, or related field or equivalent experience.
  • Minimum 2-3 years of experience in program coordination, project support, IT or Digital workforce initiative, administrative operations, or event delivery within a workforce development or employment services environment
  • Strong knowledge of the digital economy trends, AI and technology-enabled roles, or emerging labor market pathways is an asset.
  • Experience supporting event logistics, stakeholder communications, and documentation processes, and/or digital systems or platforms used for program delivery.
  • Knowledge of the newcomer settlement and Employment Ontario sectors with a good understanding of challenges faced by prospective immigrants, newcomers to Canada, women, and youth.
  • Excellent organization, facilitation, and communication skills.
  • Demonstrated ability to engage with diverse communities and deliver inclusive programming.
  • Ability to follow established procedures, maintain accurate documentation, and work collaboratively within a multidisciplinary team environment
  • Flexibility to work evenings and weekends as required by the project.
