Job summary

Flair Airlines is seeking a Project Coordinator to join its Enterprise PMO, coordinating project activities, maintaining documentation, and supporting governance across airline initiatives. The role emphasizes organized tracking, cross-functional collaboration, and clear reporting within a fast-paced, on-site environment at Calgary (YYC) or Toronto (YYZ).

The ideal candidate will have 2–3 years of PMO support experience, a diploma/degree in business or PM, and proficiency with Microsoft 365.

Qualifications

  • Diploma or degree in Business Administration, Project Management, or related field; equivalent experience.
  • CAPM (Certified Associate in Project Management) or equivalent is an asset.
  • 2–3 years of experience in project coordination, PMO support, or related role.
  • Experience maintaining project plans, schedules, logs, and documentation.
  • Experience coordinating meetings, tracking deliverables, and reporting.

Responsibilities

  • Support development and maintenance of project plans, schedules, and milestones.
  • Maintain project information in PMO dashboards, trackers, and repositories.
  • Track actions, deliverables, milestones, risks, issues, and dependencies.
  • Maintain organized project files including approvals and decisions.
  • Coordinate project meetings, kickoffs, and status reviews; prepare materials.
  • Follow up with owners on outstanding actions, status, and upcoming milestones.
  • Coordinate information across project teams, stakeholders, vendors, and PMO.
  • Support readiness activities, checklists, communications, and transitions.
  • Prepare status reports, dashboards, and portfolio updates for PMO/leadership.
  • Identify overdue items and elevate risks or issues to PMO Manager.
  • Support governance: stage-gate prep, approvals tracking, document control, closeout.
  • Collect metrics and lessons learned for PMO reporting.

Your Team

Join Flair’s Enterprise PMO team, where effective coordination and project governance support the delivery of initiatives across the airline and vacation businesses. Reporting to the Manager, Enterprise PMO, the Project Coordinator is responsible for providing coordination, administration, documentation, and reporting support across enterprise projects and initiatives. The role coordinates project activities, maintains project information, tracks milestones and deliverables, and ensures documentation and reporting remain current and organized.

Working with project owners and cross-functional teams, the Project Coordinator supports the day-to-day coordination of project activities, including meetings, follow-ups, status reporting, and the tracking of actions, risks, issues, decisions, and dependencies. The role helps maintain visibility across projects and ensures items requiring attention, follow-up, or escalation are communicated to the appropriate stakeholders.

This is an on-site position based at our Calgary, AB (YYC) or Toronto, ON (YYZ) office.

A Day In The Life
  • Support the development and maintenance of project plans, schedules, milestone trackers, RACI matrices, action logs, risk and issue registers, decision logs, and other project documentation.
  • Maintain current project information within approved project management systems, dashboards, trackers, and shared repositories.
  • Track project actions, deliverables, milestones, risks, issues, dependencies, decisions, and due dates, ensuring owners and required follow-ups are documented.
  • Maintain organized project files and records, including approvals, decisions, and supporting documentation.
  • Coordinate project meetings, kickoffs, working sessions, status reviews, and readiness meetings, including scheduling, agendas, meeting materials, and action follow-up.
  • Follow up with project and workstream owners on outstanding actions, deliverables, status updates, and upcoming milestones.
  • Coordinate project information and updates between project teams, business stakeholders, vendors, and the Enterprise PMO.
  • Support project readiness and implementation activities, including checklists, stakeholder coordination, communications, and transition tracking.
  • Prepare project status reports, dashboards, portfolio summaries, presentations, and other reporting materials for the Enterprise PMO and leadership.
  • Identify overdue deliverables, emerging risks, issues, or dependencies and elevate items requiring attention to the Manager, Enterprise PMO.
  • Support project governance requirements, including stage-gate preparation, approvals tracking, change documentation, document control, and project closeout.
  • Collect project metrics, lessons learned, and performance information to support PMO reporting and continuous improvement.
  • Support the maintenance and improvement of Enterprise PMO templates, tools, processes, and standards.
  • Perform other duties and responsibilities as assigned.

  • Education:
    • Diploma or degree in Business Administration, Project Management, or a related field, or equivalent combination of education and experience.

    • Experience preparing project status reports, dashboards, presentations, and other project reporting.
    • Experience working with project management systems, shared repositories, and collaboration tools.
    • Experience supporting project governance, approvals, change documentation, and document control.
    • Experience coordinating with multiple cross-functional stakeholders in a structured business environment.
    • Experience within an airline, travel, or other operational environment is considered an asset.
  • Skills & Abilities:
    • Strong organizational and prioritization skills with the ability to manage multiple project activities, trackers, documents, deadlines, and follow-ups.
    • Strong attention to detail when maintaining project information, documentation, and reporting.
    • Proficiency in Microsoft 365, including Excel, PowerPoint, Word, Teams, and SharePoint.
    • Strong written and verbal communication skills with the ability to prepare clear status updates, meeting materials, and project documentation.
    • Ability to work effectively with cross-functional stakeholders and coordinate information and follow-ups across multiple teams.
    • Ability to work independently on assigned responsibilities while contributing effectively within a project team.
    • Ability to identify risks, issues, delays, and overdue actions and elevate them to the appropriate project lead or Manager, Enterprise PMO.
    • Ability to adapt to changing priorities and manage competing project requirements and deadlines.
  • Requirements:
    • Clear criminal record check and satisfactory references.
    • Must be legally eligible to work in Canada without restriction.
