As a Project Coordinator, you will support the delivery of small to mid-size mechanical projects while managing the procurement of materials, equipment, and subcontracted services. Working alongside the Planning and Estimating teams, you will help keep projects on schedule and on budget by coordinating documentation, tracking deliverables, and ensuring materials arrive when they are needed. This is a dual-function role reporting to the President + CEO, offering broad exposure to project delivery, vendor management, and mechanical construction processes. It is well suited to someone early in their career who wants to build depth across both disciplines rather than specialize in one.

KEY RESPONSIBILITIES (Project Coordination)
  • Assist in planning and coordinating small-size mechanical projects, including HVAC, plumbing, and refrigeration installations, repairs, and upgrades.
  • Work closely with the Planning Team to manage project timelines, budgets, materials, and deliverables.
  • Support the creation and review of project plans, schedules, technical documentation, and quality assurance.
  • Communicate with clients, subcontractors, and internal teams to ensure seamless execution and project quality control.
  • Ensure all health, safety, and environmental policies and procedures are adhered to.
  • Manage procurement activities for materials, equipment, and subcontracted services.
  • Source and negotiate with suppliers to secure the best terms for pricing, quality, and delivery.
  • Maintain strong relationships with vendors and ensure compliance with company procurement policies and terms.
  • Monitor material availability and lead times to mitigate project delays.
  • Coordinate with the Warehouse Manager to ensure accurate receiving and material tracking.
Documentation, Reporting & Systems
  • Ensure all project documentation is accurately maintained, including change orders.
  • Prepare and issue progress status reports to clients.
  • Work with the Finance Team to process purchase orders, track invoices, and reconcile procurement budgets.

Additional responsibilities may be assigned as operational needs evolve.

QUALIFICATIONS
  • Post-secondary education in engineering, construction, or a related field, or equivalent industry experience.
  • 2+ years of experience in project coordination, procurement, or a related role, ideally within the mechanical, HVAC, or construction industries.
  • Strong organizational skills with the ability to manage multiple priorities and competing deadlines.
  • Strong analytical and problem-solving skills, with the ability to work independently and effectively.
  • Effective communication and negotiation skills with clients, vendors, and internal teams.
  • Proficiency in Microsoft Office Suite and project management tools such as MS Project.
  • Familiarity with relevant codes, standards, and safety practices in the mechanical industry is an asset.
  • Valid driver's license and willingness to travel as required.
  • Adaptable and resourceful, comfortable in a fast-paced environment with shifting priorities.
