Job Overview

Reporting to the Project Manager, the Project Coordinator will work closely with the Project Team to assist in managing schedules, documentation, financial tracking, consultant coordination, and internal communication. This role plays a key part in ensuring projects run efficiently and that stakeholders across Leasing, Property Management, and Accounting Departments are aligned throughout the project lifecycle.

Core Duties & Responsibilities
  1. Project Coordination & Administration
    • Support Project Team in overseeing capital improvement and/or tenant fit-up projects from initiation to closeout.
    • Coordinate consultant drawings, specifications, revisions, and other construction documentation.
    • Assist in tender preparation, bid analysis, and contractor award documentation.
    • Assist in project budgeting and cost reporting, track permits, inspections, and approvals as required.
    • Conduct site tours, meetings, and safety inspections to ensure policies, procedures and standards are adhered to.
    • Support in deficiency tracking and resolution.
  2. Consultant & Contractor Coordination
    • Coordinate consultants including architects, engineers, and other specialists.
    • Track and coordinate drawings through the building permitting processes
    • Coordinate with contractors and consultants to ensure they fulfil their contractual obligations
  3. Internal Collaboration
    • Work closely with Leasing to support tenant improvement projects and lease commitments.
    • Coordinate with Property Management to ensure construction activities are communicated and integrated with building operations.
    • Assist Accounting with project invoicing, budget tracking, and documentation.
    • Support the transition of completed projects to Property Management and Operations teams.
    • Provide regular project updates to the Project Manager and internal stakeholders.

Core Qualifications
  • A degree or diploma in engineering, architecture, construction management, or a related field.
  • Strong proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Familiarity with construction documentation, budgeting, scheduling, and project coordination.
  • Strong written and verbal communication skills.
Experience Requirements
  • 1+ years of experience in project coordination, construction administration, or project support roles.
  • Experience working on commercial tenant improvement projects and/or base building upgrade projects is considered an asset.
  • Experience coordinating consultants, contractors, and multiple stakeholders in a project environment.
