Job summary

Intlvac Thin Film in Halton Hills, Ontario, is seeking a Project Coordinator to drive custom equipment projects from order release through manufacturing, testing, shipment and final customer acceptance. Reporting to the Production Manager, you will coordinate across Engineering, Production, Purchasing, Quality, Inventory, Service, Shipping and Sales to keep projects moving and meet customer requirements.

Qualifications

  • Diploma or degree in Engineering, Engineering Technology, Project Management, Manufacturing, or related discipline.
  • 3–5 years of project coordination experience in custom manufacturing or engineer-to-order environments.
  • Strong understanding of manufacturing processes and scheduling.
  • Ability to read engineering drawings, BOMs, and revision-controlled documentation.
  • Experience with ERP/MRP systems and Microsoft Office.

  • Develop and maintain project schedules, milestones, deliverables, and priorities.
  • Monitor progress, risks, delays, and procurement issues across departments.
  • Coordinate engineering releases, drawings, BOMs, and revision-controlled docs.
  • Work with Production to coordinate fabrication, assembly, testing and integration.
  • Track materials, supplier commitments, and long-lead components with Purchasing.
  • Coordinate customer design reviews, progress updates, and approvals.

Intlvac Thin Film | Halton Hills, Ontario | Full-Time | Production

Build complex equipment. Coordinate the people, materials, and information that make it happen.

Intlvac Thin Film designs and manufactures highly customized high-vacuum process equipment for thin film deposition, ion beam processing, research, and industrial applications.

We are looking for a Project Coordinator to join our Production team and help drive custom-engineered equipment projects from order release through manufacturing, testing, shipment, installation, and final customer acceptance.

Reporting to the Production Manager, you will coordinate across Engineering, Production, Purchasing, Quality, Inventory, Service, Shipping, and Sales to keep projects moving and ensure customer requirements are met.

This is not a generic administrative project coordination role. We are looking for someone who understands—or is eager to learn—the realities of engineer-to-order manufacturing, where engineering changes, long-lead components, production priorities, supplier commitments, and customer requirements all have to come together. Salary range for this position is $65-$75K depending on qualifications.

What You'll Do
  • Coordinate multiple custom equipment projects from order release through final closeout.
  • Develop and maintain project schedules, milestones, deliverables, and priorities.
  • Monitor project progress and identify risks, delays, resource constraints, and procurement issues.
  • Coordinate engineering releases, drawings, BOMs, work instructions, and revision-controlled documentation.
  • Work closely with Production to coordinate fabrication, machining, assembly, integration, and testing.
  • Work with Purchasing to track critical materials, supplier commitments, and long-lead components.
  • Coordinate customer design reviews, progress updates, approvals, and project deliverables.
  • Support shipment planning, field installation, commissioning, and Service scheduling.
  • Track punch-list items and ensure projects are properly closed out.
  • Identify opportunities to improve scheduling, documentation, communication, and manufacturing workflows.
  • Develop practical project management tools and reporting methods that improve visibility across Operations.
What You Bring
  • Diploma or degree in Engineering, Engineering Technology, Project Management, Manufacturing, or a related discipline.
  • 3–5 years of project coordination experience in custom manufacturing, engineer-to-order, industrial equipment, or a similar environment.
  • Strong understanding of manufacturing processes and project scheduling.
  • Ability to understand engineering drawings, BOMs, and revision-controlled documentation.
  • Experience with ERP/MRP systems and Microsoft Office.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent communication skills and the ability to coordinate people across multiple departments.
  • Ability to manage several complex projects and competing priorities without losing attention to detail.
Experience That Will Stand Out

Candidates with experience in the manufacture of custom-engineered capital equipment will be particularly well suited to this role.

Experience with:

  • Fabricated or machined assemblies
  • Pressure or thermal processing equipment
  • Factory Acceptance Testing (FAT)
  • Site Acceptance Testing (SAT)
  • Installation and commissioning

will be considered a strong asset.

PMP or CAPM certification is also an asset.
