Job summary

Inviro Engineered Systems Ltd. in Scarborough, Ontario, seeks a motivated Project Coordinator to join our growing team. You will support Project Managers across mechanical, electrical, and building engineering projects from initiation through completion.

You will help prepare schedules, budgets, and deliverables, review change orders, and maintain comprehensive project documentation. Strong communication and organizational skills are essential in our fast-paced environment.

Qualifications

  • Diploma or Bachelor's degree in Business Administration, Project Management, Engineering, Construction Management, or a related discipline.
  • 0–2 years of experience in project coordination, project administration, engineering, construction, or a related professional services environment.
  • Strong proficiency with Microsoft Office Suite, including Excel, Word, Outlook, PowerPoint, and SharePoint.
  • Familiarity with project management software such as Microsoft Project, Procore, Deltek, Asana, or similar platforms is considered an asset.
  • Exposure to consulting engineering, construction, or commercial building projects is considered an asset.

Responsibilities

  • Support Project Managers in coordinating multidisciplinary mechanical, electrical, and building engineering projects from initiation through completion.
  • Assist in preparing and maintaining project schedules, work plans, budgets, and project deliverables to help ensure projects are completed on time and within scope.
  • Assist with the review, tracking, and administration of change notices and change orders, including coordinating technical input, monitoring status
  • Prepare and maintain project documentation including proposals, meeting minutes, progress reports, project correspondence, and close-out documentation.
  • Coordinate communication between internal engineering teams, clients, consultants, contractors, and suppliers to facilitate effective project execution.
  • Track project milestones, deliverables, and action items, following up with team members to ensure deadlines are met.
  • Maintain organized project files, drawings, specifications, contracts, and documentation in accordance with company quality management procedures.
  • Assist with procurement activities, equipment tracking, submittal reviews, and shop drawing coordination.
  • Schedule project meetings, prepare agendas, record meeting minutes, and distribute action items.
  • Assist in monitoring project risks and escalating issues to Project Managers when appropriate.
  • Ensure project activities comply with company standards, client requirements, engineering practices, and health and safety policies.
  • Contribute to continuous improvement initiatives by identifying opportunities to improve project coordination processes and documentation.
  • Build positive working relationships with internal teams while providing professional and responsive client service.
  • Perform other duties as assigned by Project Managers or senior leadership.

Qualifications and Requirements
  • Diploma or Bachelor's degree in Business Administration, Project Management, Engineering, Construction Management, or a related discipline.
  • 0–2 years of experience in project coordination, project administration, engineering, construction, or a related professional services environment. Co-op, internship, or relevant academic project experience will also be considered.
  • Basic understanding of project management principles, scheduling, budgeting, and project documentation.
  • Strong proficiency with Microsoft Office Suite, including Excel, Word, Outlook, PowerPoint, and SharePoint.
  • Familiarity with project management software such as Microsoft Project, Procore, Deltek, Asana, or similar platforms is considered an asset.
  • Exposure to consulting engineering, construction, or commercial building projects is considered an asset.
  • Familiarity with AutoCAD, Revit, Bluebeam, or construction document management software is considered an asset.
  • CAPM certification or willingness to pursue project management certification is considered an asset.
  • Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.
  • Excellent verbal and written communication skills with the ability to collaborate effectively with internal teams and external stakeholders.
  • Strong attention to detail, problem-solving skills, and a proactive approach to learning.
  • Ability to work independently while contributing effectively within a collaborative team environment.
  • Demonstrated professionalism, initiative, adaptability, and a commitment to delivering high-quality work and excellent customer service.
