Project Assistant

The Project Assistant will report to the Project Manager and be responsible for file maintenance, daily LEMs, timesheet and payroll processing. This is a full-time, in-office position based in Ottawa, Ontario.

What You Will Be Working On
  • Data entry for daily timesheets
  • Reviewing timesheets to ensure payroll accuracy
  • Supporting payroll communications between site and head office
  • Entering and crosschecking subcontractor LEMs against rate agreements
  • Processing daily LEMs for billable activities
  • Preparing monthly reports, subcontracts, purchase orders, and LEED documentation
  • Maintaining project logs and trackers
  • Assisting with procurement documentation and tracking
  • Gathering backup documentation for client reporting
  • Supporting material management and verifying manpower on site
  • Onboarding new project team members and maintaining employee records
  • Providing general administrative support to the project team
What We Are Looking For
  • 2+ years of administrative experience with similar responsibilities
  • Proficiency with timekeeping, Excel, and material receiving systems
  • Ability to manage large volumes of data with accuracy
  • Self-motivated with growth ambitions
  • Strong relationship-building skills
  • Excellent communication skills
  • Ability to handle multiple priorities and work under pressure
  • Strong analytical and problem-solving skills
