Job Description
We are currently searching for a Project Administrator for the Industrial Infrastructure Group in our Calgary office. In this role you will be supporting Project Managers, the Group Manager and other team members with a range of project and general management duties. You will also support our Calgary’s office’s broader Infrastructure Division comprised of three teams in total.

Your responsibilities will include:
• Assisting with project and group management tasks such as project initiations, project closures, project management plans, budget and schedule tracking, invoicing etc.
• Utilizing word processing skills to prepare correspondence, reports, proposals, contract specifications and other documents as required.
• Organizing and controlling project documents including administering construction RFI’s, maintaining tracking logs, preparing PPC’s, compiling meeting minutes and maintaining project files in our corporate records management database.
• Supporting field staff requirements including organizing rental vehicles, safety training, equipment inventory management and field representative onboarding.
• Liaising with contractors, subconsultants and other third parties for coordination of project documentary requirements.
• Assisting with preparation of proposals.
• Assisting with the preparation and tracking of project agreements.
• Assisting the Division Manger, Group Manager and senior team members with general office and project related tasks as required.
Job Requirements
What you will bring:
• Relevant degree or diploma from an accredited post-secondary education institution.
• 3+ years experience providing project/management support.
• Excellent organizational skills with a keen attention to detail.
• Experience in supporting project management of infrastructure projects from design to construction.
• Proficient writing and word processing skills for the preparation of technical reports, proposals and other project correspondence.
• Outstanding verbal and interpersonal skills to support your communication with project teams, contractors, subconsultants and clients.
• Ability to work to tight deadlines.
• Strong numerical skills to support budget and costs tracking.
• Ability to identify efficiencies and streamline processes.
• Committed team player.
• Proficiency in MS Office. Knowledge of scheduling software, such as MS Project, and SharePoint is an asset.
• Proficiency in supporting the development and execution of design and construction contracts.
• Reliable and able to maintain confidential information.
