Buds in Bloom is a Registered Charity since 2021 that provides one-on-one, small group, and online programmes as a foundation for connection and wellness for families raising children with neurodiversity. Buds in Bloom was founded to respond to an overwhelming demand for families to seek, find, and access child and family support services. About the Role

We’re looking for a driven, discrete, and detail-oriented Project Manager with digital-social media experience to join our team and lead the successful delivery of a digital transformation initiative—particularly with a strong technology focus. In this role, you’ll work closely with Directors of the Board and cross-functional teams to plan, execute, and oversee the project from conception to completion from May through December 31, 2025. You'll be hands-on in your approach, ensuring timelines, resources, and communication are managed effectively while helping the team meet charitable organization goals, stay on budget, and align with strategic objectives.

This is an ideal role for a project manager with a solid background in project implementation, KPI achievement, change management, and experience supporting technology and software installation initiatives. We’re especially interested in candidates who thrive in fast-paced environments and enjoy being actively involved in execution, not just oversight.

The ideal candidate will assist in coordinating project activities, ensuring KPIs and timelines are met, and facilitating communication between team members and stakeholders. Team members include web developers, data analytics coach, bookkeeper, volunteers, and Directors of the Board. This role requires strong organizational talent, excellent communication etiquette, and a commitment to delivering exceptional service.

Part-time contract with potential for extension.

Expected hours: 18-20 per week.

Language requirement: French not required but an asset.

Schedule: Flexible.

Where: Remote – Calgary, Alberta; occasional meetings in person, if in Calgary.

Responsibilities:

  1. Develop a project charter by defining project scope, goals, and deliverables in collaboration with Directors of the Board, Data Analytics Coach, and Team leads.
  2. Oversee and implement the strategic project, focusing on digital transformation, impact metrics, and technology systems (e.g., contact Management software, DonorPerfect, Resource Compass, Wordpress, QuickBooks, Profit Acceleration Software).
  3. Acquire software and materials, and ensure or coordinate setup, integration, customization, and technical training from respective Team leads.
  4. Maintain project schedules using tools such as Google Suite.
  5. Provide hands-on support throughout the project lifecycle, not just guidance or delegation, by supporting the team to ensure all KPIs and timelines are met, and project objectives are achieved.
  6. Communicate with the team and stakeholders to provide updates and gather feedback.
  7. Facilitate team meetings and coordinate across teams to ensure successful delivery of project milestones.
  8. Manage project budget with Finance team members and resource allocation with a charity-first mindset.
  9. Identify and manage risks, ensuring appropriate mitigation plans are in place.
  10. Manage CRM, post on Facebook/Instagram and LinkedIn, track media engagement, and streamline processes.
  11. Track, analyze, and evaluate project performance, digital transformation, and system impact with Team Leads through quantitative and qualitative data from donors, families, and online visitors.
  12. Regularly report any issues or delays to the Directors of the Board and provide quarterly reporting on progress and outcomes to the Directors of the Board.
  13. Equip leadership and team members with app, software, and website knowledge. Feedback sessions and technical expert consultations will ensure smooth operation and compatibility across systems.
  14. Lead or support change management efforts to drive adoption and sustainability of project outcomes, beyond the project end-date.

Qualifications:

  • Proven experience managing complex projects, particularly those involving technology or corporate development.
  • Strong understanding of digital systems, cross-functional project impacts, and charitable organization operations preferred.
  • Experience in leading or supporting change management initiatives.

Competencies:

  • Utmost discretion and work ethic.
  • Excellent written and verbal communication in English (French an asset), with the ability to interact with stakeholders at all levels.
  • Demonstrated leadership and the ability to motivate and align cross-functional teams.
  • Strong organizational and time management skills.
  • Hands-on project execution style; not just oversight but a doer mentality.
  • Comfortable operating in dynamic and evolving charitable organization environments.
