Job summary

Stella's Circle Community Services Inc. in St. John’s, NL, is hiring a full-time Program Scheduler to coordinate the two-week CMHW schedule and ensure safe, participant-centered service delivery.

The role partners with the Program Lead and Case Managers to balance staff availability, program needs and safety considerations. Responsibilities include schedule development, communicating changes, and maintaining confidential scheduling records, while complying with privacy standards.

Qualifications

• Post-secondary education in office administration, health services administration or related field.
• Experience in staff scheduling, workforce coordination or administrative support with multiple priorities and deadlines.
• Experience in community-based mental health, housing or human services is an asset.
• Proficiency in digital scheduling tools and records systems.
• Strong organizational skills, attention to detail and ability to reconcile complex information.

Responsibilities

• Develop, verify and maintain the two-week CMHW schedule including shifts, appointments, medication delivery and training.
• Balance staff availability, continuity of support and program requirements while identifying gaps and conflicts.
• Coordinate inputs with Program Lead and Case Managers for timely schedule distribution.
• Maintain schedules, document changes and communicate updates to staff and team members.
• Ensure confidentiality and accuracy of scheduling records and information.
