This role is perfect for someone organized, eager to learn, and ready to dive into a fast-paced creative environment.

Key Responsibilities

  • General housekeeping tasks such as handling emails and managing documents.
  • Organize and manage digital files and ensure timely ingestion of client notes.
  • Support the Producer and Production Manager in scheduling and coordinating client meetings, dailies, and team events.
  • Facilitate communication between different departments by relaying messages and ensuring timely information flow.
  • Distribute important information and updates to the production team.
  • Address any minor issues that may arise during production and escalate more significant concerns to the Producer and Production Manager.
  • Support the production coordinators by adding notes into Flow in a clear and concise manner.
  • Take notes from internal and client meetings and distribute them to the relevant departments.
  • Assist in finding solutions to challenges in collaboration with the production team.
  • Actively seek opportunities to learn about the animation production process and industry standards.
  • Assist in maintaining a positive and collaborative work environment.
  • Flag to your Producer/Production Manager if any artist is not performing at their quota, working within the studio’s hours, and or not maintaining standards of professionalism

Skills and Experience

  • Strong organizational and time-management skills, with the ability to prioritize and multitask in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Detail-oriented with a proactive and solution-focused mindset.
  • Comfortable working with spreadsheets, documents, and production tracking tools (experience with Flow or similar a plus).
  • Eagerness to learn about animation production processes and pipeline workflows.
  • Positive attitude and team-oriented approach; thrives in a collaborative environment.
  • Ability to take direction well and follow through on tasks independently.
  • Previous production experience is a plus, but not required.
