Job summary

Altis Technology in Toronto is seeking a Process Administrator for a 3-month contract to start, with a path to permanent. This hybrid role involves mostly remote work with about one day a month on-site in Toronto.

You will review CRM and databases for accuracy across registrations and customer information. You will perform quality assurance on calls, emails, and applications, monitor KPIs, and collaborate with Team Leads to strengthen processes.

Qualifications

  • 3+ years of experience in an operations, customer service, quality assurance, registration or admin role.
  • Post-secondary degree with strong critical thinking and organizational skills.
  • Experience in a call centre or CSR environment reviewing applications, memberships, or service interactions.
  • Strong CRM and database experience; comfortable navigating multiple systems for accuracy.
  • Demonstrated quality control and exceptional attention to detail.
  • Strong written and verbal communication; able to raise concerns and provide feedback.
  • Proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook) plus Adobe Pro and collaboration tools (SharePoint, Teams, Zoom). Regulatory/healthcare/public service experience is a plus.

Responsibilities

  • Perform quality assurance reviews of calls, emails, applications and documentation; provide feedback on trends and improvement opportunities.
  • Monitor operational reports and KPIs to identify service challenges and data issues.
  • Collaborate with Team Leads and partners to strengthen processes and support staff training.
  • Review business processes for accuracy and adherence; speak up on gaps or opportunities for improvement.
  • Support system and process changes by sharing insights with IT and technical partners.

Job description

Location: Toronto, ON, Hybrid, primarily remote with approximately 1 day on-site per month

About the Opportunity

This is an exciting opportunity to step into a brand-new Process Administrator role with a regulatory organization serving the healthcare sector. Working across registration, customer service and information verification functions, you’ll help strengthen the accuracy, quality and consistency of critical operational data and processes.

Your Responsibilities
  • You’ll review CRM and database records for accuracy, completeness and quality, correcting entries and identifying duplicate or missing information.
  • You’ll perform quality assurance reviews of customer service calls, emails, applications and documentation, providing clear feedback on trends and improvement opportunities.
  • You’ll monitor operational reports and key performance indicators to identify service challenges, data issues and potential learning needs.
  • You’ll collaborate with Team Leads and cross-functional partners to strengthen processes, improve data quality and support staff training.
  • You’ll review business processes for accuracy and adherence, speaking up when you identify gaps or opportunities for improvement.
  • You’ll support system and process changes by sharing operational insights with technical and IT partners.
Skills and Qualifications
  • 3+ years of experience in a similar operations, customer service, quality assurance, registration or administrative role.
  • Post-secondary degree, with strong critical thinking, problem-solving and organizational skills.
  • Experience in a call centre or CSR environment, or comparable experience reviewing applications, memberships, customer records or service interactions.
  • Strong CRM and database experience, including confidence navigating multiple systems and reviewing data for accuracy.
  • Demonstrated quality control experience and exceptional attention to detail.
  • Strong written and verbal communication skills, with the confidence to raise concerns and provide constructive feedback.
  • Proficiency with Microsoft Office, including Excel, Word, PowerPoint and Outlook, plus Adobe Pro and collaboration tools such as SharePoint, Teams and Zoom. Regulatory, healthcare or public service experience is considered an asset.
