We are looking for a Practice Coordinator, Search to join our team to enhance our service delivery model for financing and corporate transactions. The role will work alongside our leading legal professionals.
Please note, this role can operate as a fully remote opportunity within Ontario, or hybrid working out of our Ottawa or Toronto offices.
Major Responsibilities:
- Work with leading professionals at the firm on financing and corporate transactions for a wide variety of clients
- Coordinate workflow and act as the key point of contact for corporate due diligence and Personal Property Security Act (“PPSA”) searches and registrations
- Provide administrative support to the Search Clerk team, including processing vendor invoices for payment, reconciling department credit cards and tracking and submitting expenses
- Draft and file simple registrations under the PPSA with minimal supervision
- Provide assistance with email requests and respond to requests, as and when required
- Manage competing requests and efficiently assign matters to our Search Clerk team
- Ensure that confidential and sensitive data is protected by the security and privacy protocols of the Firm
- Assist with the implementation, maintenance and improvement of new technologies
- Suggest process improvements for our team conducting corporate due diligence and PPSA searches and registrations
- Contribute to the continued design and improvement of our enhanced service delivery model for clients
Position Requirements
Education and Experience
The position requires a university degree in any discipline or field of study. Recent graduates or those interested in the legal field are welcome to apply. Experience with PPSA and/or corporate searches, working in a fast-paced environment and a demonstrated ability to manage competing tasks would be an asset. An equivalent combination of education, training and experience may be acceptable.

- Excellent attention to detail, organization, and time management skills
- Strong verbal and written communication skills
- Strong proficiency with technology including MS Office Suite is asset
- Ability to work well independently and in a team setting
- Excellent client service skills
- Excellent problem-solving skills
