Job description

This position is listed on behalf of a partner company, which manages all applications and next steps. Our partner is looking for a Payroll Specialist based in Canada.

This is an excellent opportunity to join a fast-growing international technology company focused on simplifying global workforce management and enabling businesses to hire talent worldwide. As a Payroll Specialist, you will play a key role in ensuring accurate, timely, and compliant payroll operations, primarily supporting Canadian payroll while contributing to broader international processes. You will manage essential payroll activities, including data validation, reconciliations, calculations, and discrepancy resolution. Working closely with internal teams and external payroll partners, you will help maintain reliable payroll delivery and a seamless experience for employees and clients. This hands-on operational role offers exposure to international payroll practices, evolving technologies, and automated validation tools. You will also have the opportunity to expand your expertise across multiple countries while contributing to the development of scalable global payroll operations.

Accountabilities:

  • Support end-to-end payroll processing and validation activities for Canada and other countries as the global payroll function expands.
  • Collect, review, and validate payroll inputs and outputs, ensuring all information is complete, accurate, and processed within established deadlines.
  • Perform payroll reconciliations by comparing expected payroll results with final calculations and identifying discrepancies or inconsistencies.
  • Investigate payroll differences, determine their underlying causes, and coordinate with internal teams and external payroll partners to implement appropriate resolutions.
  • Process and validate payroll changes, including new hires, employee terminations, salary adjustments, bonuses, deductions, and leave-related updates.
  • Review payroll calculations, supporting documentation, and relevant employee information to ensure accuracy and consistency.
  • Respond to payroll-related questions and collaborate with internal stakeholders and external providers to resolve operational issues efficiently.
  • Maintain accurate payroll records, documentation, reconciliation reports, and tracking tools to support operational transparency and compliance.
  • Use payroll technology, spreadsheets, and automated validation tools to improve processing accuracy, efficiency, and consistency.
  • Develop an understanding of additional country-specific payroll requirements and support international payroll operations as business needs evolve.
  • Contribute to the continuous improvement of payroll processes, helping identify opportunities to streamline workflows and strengthen validation procedures.
Requirements:
  • Previous hands-on experience in payroll administration or processing, ideally within an in-house payroll environment.
  • Demonstrated ability to independently manage payroll operations for at least one country, including processing, calculations, validations, reconciliations, and reporting.
  • Strong understanding of payroll fundamentals, including employee compensation, payroll inputs and outputs, deductions, bonuses, and statutory or employment-related changes.
  • Experience investigating payroll discrepancies, identifying calculation errors, understanding changes in payroll results, and implementing appropriate corrective actions.
  • Excellent attention to detail and a high level of accuracy when handling sensitive payroll information, financial data, and numerical calculations.
  • Comfortable working with payroll management systems, Microsoft Excel, Google Sheets, and other digital tools used for payroll processing and validation.
  • Strong written and verbal English communication skills, with the ability to collaborate effectively with internal departments and external payroll partners.
  • Good organizational and time-management skills, with the ability to manage multiple payroll activities, meet deadlines, and maintain accurate documentation.
  • Adaptability and a willingness to learn new systems, understand different country-specific payroll requirements, and adjust to evolving operational processes.
  • A proactive, analytical, and problem-solving mindset, with the ability to work independently while contributing effectively to a collaborative global team.

Nice-to-have qualifications:

  • Previous experience managing payroll operations in the United States.
  • Experience handling payroll across multiple countries and understanding different international payroll requirements.
  • Familiarity with payroll platforms such as ADP or similar payroll management systems.
  • Experience using automated payroll validation, reconciliation, or AI-powered tools to improve processing accuracy and efficiency.
Benefits:
  • Competitive compensation: Attractive salary package based on experience and qualifications.
  • Flexible working environment: Asynchronous work practices that support autonomy and effective collaboration across different time zones.
  • Remote-first culture: Fully remote arrangements.
  • International mobility: Possibility to work from abroad for short periods, subject to company policies.
  • Career development: Opportunities for professional growth and internal career progression within a rapidly expanding international organization.
  • Equipment provided: All new employees receive the necessary hardware and equipment to perform their roles effectively from day one.
