Health Association Nova Scotia (HANS) is seeking a Payroll Specialist to join our Payroll Services team in Bedford, NS. The role partners with the Payroll Manager to ensure accurate, timely processing of client payrolls and to uphold data integrity and exceptional client service.

The ideal candidate will have 5+ years of payroll experience, familiarity with Payworks/ADP/Ceridian, PCP certification or willingness to obtain, and strong communication skills in a fast-paced, collaborative

Position Scope

The Payroll Specialist is responsible for the accurate and timely processing of client payrolls within the Payroll Services department at Health Association Nova Scotia (HANS). This role works closely with the Payroll Manager to develop payroll processes, implement new payroll clients, and maintain high standards of data integrity and customer service. The Payroll Specialist supports external clients and troubleshoots issues with cloud-based payroll software. The position requires strong analytical, organizational, and communication skills, as well as the ability to work effectively in a fast-paced, collaborative environment.

Key Responsibilities

• Process client payrolls accurately and on time, ensuring compliance with established procedures and standards.
• Perform payroll support and other payroll related processes.
• Provide customer service to external clients, responding to inquiries and resolving payroll-related issues.
• Enter and maintain client payroll schedules and data.
• Troubleshoot client issues with cloud-based payroll software (e.g., Payworks, ADP), offering viable solutions and support.
• Assist in the development and implementation of payroll processes for new and existing clients.
• Collaborate with team members to identify opportunities for process improvement and increased efficiency.
• Ensure compliance with internal controls, payroll policies, and applicable regulations.
• Other duties as assigned.

Qualifications

• Minimum 5 years of experience in payroll administration (specialist level).
• Knowledge of payroll, benefits, and pension administration.
• Payroll Compliance Professional Certificate (PCP) or willingness to obtain one is required.
• Experience with payroll system solutions (Payworks, ADP, Ceridian) and MS Office (Excel, Word, PowerPoint).
• Strong interpersonal skills and ability to work with diverse individuals
• Excellent verbal and written communication skills.
• Ability to organize and prioritize work in a high-paced environment.
• Experience in troubleshooting and resolving payroll system issues.

Working Conditions

• Hybrid work environment, with an expectation of working in the office 1 to 2 days per week based on operational and team needs.

• Overtime may be required during peak payroll periods or to address urgent operational issues.
